Jewish Community Services (JCS), a dynamic, community-based organisation delivering generic welfare services, is recruiting for an organised and efficient admin assistant to provide general and financial administrative support, in conjunction with the social workers and admin team.

JCS seeks to appoint  Administrative Assistant to be based in Gardens, Cape Town.

Reporting to:  Financial Manager

Hours of work: 08h30 – 16h30 (Mon- Thurs); Fri (08h30-14h00)

Nature of contract: Full-time, Permanent

Salary: R12 000 – R13 500 a month CTC package (commensurate with skill and experience)

Benefits: All Jewish Holidays; CTC package includes contribution towards Provident fund (compulsory) and Medical Aid (optional)

MAIN DUTIES & RESPONSIBILITIES
Administrative support to Social Work Component:

  • Distribution of grants and food vouchers
  • Cash/cheque deposits
  • Prepare weekly and monthly payment schedules for supplier invoices, grants, disbursements and staff expense claims
  • Disbursement of emergency cash to clients that have been authorized by social workers and management

 Administrative support to Finance/Admin Department:

  • Processing of supplier invoices into Pastel Accounting Software
  • Month end reconciliation of all supplier accounts and investigate variances/issues
  • Follow up on discrepancies and remind suppliers to submit their monthly invoices
  • Processing of Foodbank inventory invoices into Pastel
  • Monthly invoicing to JCC sublet organisations and MOW clients
  • Health & Safety Officer

Administrative support for monthly Exco meetings:

  • Preparation of meeting packs and minute taking
  • Arranging dates and attendance of Exco meetings

REQUIRED SKILLS & EXPERIENCE:

Work experience and industry exposure

  • Matric is essential
  • At least 1-5 years’ financial administration experience
  • Experience working with Pastel Accounting is a distinct advantage
  • Must have experience working with cross functional teams

 Good Communication skills

  • Excellent verbal and written communication skills with the ability to liaise with clients and service providers effectively
  • Able to manage difficult situations and personalities in a calm and rational manner
  • Caring and compassionate disposition with service excellence approach to internal and external stakeholders

Administration Skills:

  • A flexible, self-driven individual who is able to work autonomously while maintaining open channels of communication with a team
  • Highly organised, systems oriented and efficient individual who can multitask and work well under pressure

 General:

  • Proficient in Microsoft Suite (Word, Excel, Outlook)
  •  Basic Book-keeping knowledge and Basic minute-taking skills
  •  Must be accurate and pedantic when working with figures
  •  Trustworthy and reliable with the ability to manage confidential information in a discrete and sensitive manner
  •  Knowledge and experience of the Jewish Community and Jewish way of life will be an advantage
