Position Title: Bookkeeper & Logistician

Reporting to: Country Representative(s)

Full Time Employment: 1.00

Location: Ouagadougou, Burkina Faso

Start Date: Tentatively 1st August 2024

SYNOPSIS:

The Bookkeeper works closely with the finance officer providing administrative support and additional responsibility for financial documentation, payroll, clearing partner receipts and handling the cash box. He/she will also provide support in logistical operations pertaining to the office, vehicle(s), and office yard maintenance.

PURPOSE:

The Bookkeeper and logistician will work under the direct supervision of the MCC Burkina Faso Representative(s). This assignment requires a hardworking individual who has experience with managing all facets of bookkeeping accounting and logistics in a local or international NGO and is familiar with financial requirements of the Burkina Faso Charities Association. This person will work in conjunction with finance to ensure the MCC Burkina Faso program is in full compliance with financial requirements of the government of Burkina Faso.

DUTIES AND RESPONSIBILITIES

Book-keeping-40%

  • Support the finance officer in some duties and be able to cover when she/he is on leave.
  • Assist in preparing weekly and monthly financial records, including receipts, cash disbursements and bank payments.
  • Ensure monthly bank reconciliation is prepared and submitted on time.
  • Preparing a monthly list of all transactions for entry into accounting software
  • Assist in preparing payroll, income tax withholding, Pension, Provident Funds, etc.
  • Assist with tracking of staff vacation time and relief guard schedule.
  • Work with the finance officer in the payment of bills in a timely manner.
  • Prepare information for and assist with annual audits.
  • Ensure receipts and other MCC Program information is filed and accessible when needed.
  • Verify MCC partners’ quarterly financial reports together with MCC Program Team.
  • Ensure financial files are maintained in a confidential manner and organized for easy access for program staff or Country Representatives.
  • Manage cash box, with oversight by the MCC Representative(s). With MCC Representative(s) ensure enough cash in the cash box. Balance cash box monthly with assistance of Country Representative(s) (requires two signatures).
  • Participate in MCCE staff meetings and retreats.

Logistics-30%

  • Responsible for vehicle insurance, licenses and all other papers/equipment required for roadside vehicle inspections.
  • Assumes primary responsibility for all maintenance of MCC office, yard and vehicles.
  • Assists the Rep(s) in hiring for the guards and gardener positions for the MCC Office.
  • Regularly checks on all systems at the MCC Office (water, electric, plumbing, generator, building structures, landscaping) to ensure they are functioning satisfactorily.
  • Supervises and provides training for the gardener to ensure that grounds and landscaping is kept in good order (i.e. free of trash and debris) and that shrubs, flowering plants and trees are adequately watered, fertilized and trimmed.
  • Supervises and provides training for the guards.
  • Assists the Rep in purchasing vehicles.
  • Maintains a paper file for each vehicle and the office with reports of maintenance, replacement parts, repairs, costs, etc.
  • Ensure maintenance of MCC vehicles and equipment (maintain service and registration schedules in coordination with mechanic, cleanliness etc.). Ensure servicing and maintenance schedules are adhered to.
  • Ensure usage of fuel is correctly supervised and recorded.
  • Provide logistical support – driving MCC staff/Service Workers on field trips, airport pick-ups and drop -offs, etc.
  • Create and maintain an updated record of vendors (electricians, plumbers, supply services, vehicle repairs and purchases)
  • Perform any other official duties as may be deemed relevant and necessary by the supervisor.

Assist the connecting people’s coordinator-manage the global service learning (GSL) young adult exchange program (30%)

  • Engage with GSL participants and other international staff coming to Burkina Faso to obtain electronic travel authorization, collect documents for work permits, submit applications, and do follow-up visits with Immigration.
  • Engage with Burkina Faso GSL participants to collect documents for visas and work permits for their countries of assignment.
  • For MCC visitors, provide information about Burkina Faso entry requirements, especially the Electronic Travel Authorization system.
  • Assist with GSL logistics including arrangements for in-country travel, orientation, quarterly meetings, end-of-term debriefs, and logistics for the GSL alumni network.
  • Help maintain the MCC Burkina Faso Facebook page.
  • Organize YAMEN orientation and re-entry.

Qualifications and skills requirements:

  • Degree or diploma in accounting/ finance.
  • 3 years working in accounts/finance and logistics in a local or International NGOs.
  • Knowledge of programs such as Microsoft word and Excel; ability to use email and potential to work with MCC’s custom accounting software. Knowledge of other accounting platforms such as Peachtree, QuickBooks, etc. also a plus.
  • Property and automobile management experience required.
  • Good command of both oral and written English and French.
  • Demonstrated ability to manage multiple tasks.
  • Ability to attend to many important details simultaneously.
  • Exemplary attention to detail.
  • Ability to adapt to shifting organizational demands.
  • Strong self-starter, willing to both take initiative and receive direction.
  • Category C Licensed and experienced driver with good driving record.
  • Demonstrated ability to maintain professional confidentiality.
  • Model non-violent peacemaking in the workplace and community.
  • Demonstrated understanding of MCC reporting expectations.
  • Personal character of honesty, trustworthiness, and integrity.
  • Self-driven with a solution-orientated approach.
  • Ability to train others.
