Background
GROOTS SACCO SOCIETY LTD is a growing, grassroots women-led, member-owned, non-deposit-taking SACCO committed to advancing financial inclusion and economic empowerment among grassroots women and their communities.
We are seeking to recruit a competent, experienced and member-focused Back Office Services Activity (BOSA) Operations Officer to provide maternity leave cover for six (6) months. Subject to satisfactory performance, organizational needs and availability of resources, the SACCO may consider retaining the successful candidate in a longer-term role.
The successful candidate will be responsible for ensuring the effective day-to-day management of Back Office Services Activity (BOSA), with particular responsibility for member services, credit administration, loan processing and recovery, financial and operational reporting, compliance and internal controls.
The position reports to the Central Management Committee (CMC) and will work closely with Supervisory Committee.
Key Responsibilities
BOSA Operations and Member Services
- Oversee the day-to-day operations of BOSA, including member accounts, deposits, account updates, registers and other operational records.
- Process new member registrations and ensure members receive accurate and timely information regarding their accounts and SACCO services.
- Provide responsive, respectful and professional customer service to members, ensuring that grassroots women members are supported to understand and effectively access SACCO services.
- Maintain accurate and secure custody of member records and operational documentation.
Credit and Loan Administration
- Receive, appraise and vet loan applications in accordance with the SACCO’s Credit Policy and established procedures.
- Ensure timely processing and disbursement of approved loans within agreed turnaround times.
- Monitor loan portfolios, repayments and maintain accurate and up-to-date credit records.
- Track non-performing loan (NPL) portfolios and initiate appropriate early debt recovery and follow up.
- Monitor credit risk against approved policy parameters and applicable regulatory requirements.
- Provide regular analysis of the SACCO’s loan portfolio and make recommendations to Central Management Committee on emerging credit risks and recovery measures.
Financial and Operational Reporting
- Maintain accurate and up-to-date books of accounts, perform regular reconciliations, and prepare financial statements for board review.
- Prepare and present accurate monthly and quarterly operational, credit performance, and financial reports to the Central Management Committee.
- Prepare for annual financial audits and coordinate the provision of relevant records and documentation for audit process.
Compliance, Risk and Internal Controls
- Ensure strict compliance with the Co-operative Societies Act, SASRA regulations, Data Protection laws, tax laws, and other relevant statutory and regulatory requirements.
- Identify operational, financial and credit risks. Ensure effective internal control procedures are implemented and recommend appropriate risk mitigation measures.
- Safeguard SACCO assets, member information, financial records and other confidential documents.
Governance and Management Support
- Implement Central Management Committee resolutions related to BOSA operations in a timely manner.
- Support the Central Management Committee and Supervisory Committee with relevant information and documentation for meetings and decision-making.
- Prepare and present relevant reports for Central Management Committee and Supervisory Committee meetings as required.
- Provide technical guidance and recommendations to the SACCO leadership on operational, credit member-service matters, including relevant industry best practices.
Systems Strengthening
- Identify opportunities to improve SACCO processes, member services, loan administration, reporting and internal controls.
- Strengthen documentation, systems and operational procedures to promote efficiency, accountability and continuity.
- Contribute to the development and implementation of practical systems that are accessible and responsive to grassroots women members.
- Perform any other duty as assigned by SACCO leadership.
Qualifications & Experience:
- Bachelor’s degree in Cooperative Management, Finance, Accounting, Business Administration, or a related field.
- CPA (K) or an equivalent professional qualification
- Minimum 3–5 years of progressive hands-on experience in SACCO operations, BOSA, credit administration, loan recovery, financial management or related role within a SACCO or microfinance institution.
- Demonstrated experience in managing loan portfolios, credit appraisal, loan recovery and member services.
- Experience working with SACCO Core Banking Systems / ERP tools (e.g. NAVCentral or similar systems).
- Strong proficiency in MS Excel and financial reporting tools.
- Strong understanding of the Co-operative Societies Act, SASRA requirements and other applicable regulatory frameworks.

Availability: The successful candidate will be expected to be available immediately or within a short period that allows for adequate handover and onboarding.
