Position Title: Case Processing Assistant (x9 Positions)

Primary Purpose:

This position is responsible for the processing of refugee case files under the direction of a designated Case Processing Supervisor.

Essential Duties:

  1. Completes all tasks related to refugee case processing as assigned by the unit Supervisor, ensuring strict adherence to the DOS/BPRM, USCIS, RPC, CWS and RSC Africa policies, guidelines and procedures;
  2. Maintains complete and accurate records in START and physical files of all actions taken on a case;
  3. Receives, creates, and completes new resettlement applications in START as per the laid out policies and procedures;
  4. Creates physical files and updates data in START as appropriate;
  5. Review cases to ensure they are good for Pre-screen or USCIS interviews as per the laid out policies and procedures;
  6. Schedules cases in START as per the calendar and matrix provided;
  7. Requests security checks and updates data in START as appropriate;
  8. Scans, renames and uploads documents in START:
  9. Reviews and updates cases in readiness for the next stage in processing:
  10. Reviews cases in START, in comparison with the physical file and completes travel packets for travel ready cases:
  11. Conducts regular quality assurance checks at each processing step to ensure cases are consistently and correctly updated, both electronically and in the physical file:
  12. Ensures strict compliance and adherence with the Integrity and Compliance Guidelines when working with refugee cases and communicating with implementing partners and applicants;
  13. Occasional travel to different processing locations to distribute decision letters, conduct applicant counselling, scan documents on CIS circuit rides and collaborate with IOM during concurrent medical missions. Additionally, solicit refugee information for the purpose of case processing and updating;
  14. Completes other duties as assigned by CWS/RSC Africa Management.

Qualifications:

Experience:

  • Three (3) years of paid work experience is required.

Skills:

  • Strong English communication skills, both oral and written;
  • Demonstrated computer skills, especially with Microsoft Word, Excel and Outlook;
  • Strong organizational and time management skills.

Education & Certifications:

  • High school diploma or equivalent is required.

Abilities:

  • Manage large and diverse workload under pressure with competing priorities;
  • Maintain the integrity of official records;
  • Analyse and solve complex problems and make sound decisions;
  • Work with minimal supervision;
  • Maintain a high-performance standard with attention to detail;
  • Work independently and contribute to overall operations of RSC Africa;
  • Actively participate in the implementation of the U.S. Refugee Admissions Program (USRAP).

The Resettlement Support Center (CWS RSC Africa) operates a US refugee resettlement program in sub-Saharan Africa through a Cooperative Agreement with the Department of State/Bureau of Population, Refugees and Migration.
