BACKGROUND

The Om Habibeh Foundation (OHF) is an Egyptian non-profit organization established in 1991 under the supervision of the Ministry of Social Solidarity. OHF is the implementation agency for the Aga Khan Foundation Egypt and is an affiliate of the Aga Khan Development Network of organizations and was founded by Om Habibeh Sultan Mohamed Shah Aga Khan to contribute to and support local communities in the governorate of Aswan in areas including health care, education, and providing income for deprived communities through long-term development activities. OHF works in the following areas: Continuing Education, Civil Society, Agriculture and Food Security, Economic Inclusion, Women Empowerment and Early Childhood Development.Om Habibeh Foundation (OHF), in partnership with the World Food Programme (WFP), is implementing a project entitled Integrated Livelihood “I-live” Program. The project aims at fostering an enabling environment for the socio-economic inclusion of forcibly displaced persons (including refugees, asylum-seekers, and vulnerable migrants), together with their host communities. The project seeks to improve both immediate and long-term access to protection, livelihoods, and employment opportunities while empowering local actors and strengthening community resilience.The project will be implemented in five governorates: Aswan, Alexandria, Cairo, Matrouh, and Damietta, targeting 2,000 individuals with vocational training, 1,000 with business training, and 250 with start-up support.POSITION OBJECTIVES:The Documentation and Reporting Officer will be responsible for ensuring high-quality documentation, reporting, and knowledge management for the WFP-funded project. This includes compiling regular progress reports, developing content that reflects project outcomes, maintaining organized records of implementation, and supporting internal and external communications. The officer will work closely with project staff, the M&E team, and WFP counterparts to ensure timely and accurate reporting in line with donor requirements.CORE RESPONSIBILITIES & DUTIES:

  • Documentation and Knowledge Management
    • Collect and compile relevant documentation from project sites including activity reports, meeting minutes, training records, and case studies.
    • Maintain a comprehensive and organized filing system for all project documentation—both digital and physical.
    • Support the Communications Officer in the preparation of success stories, photo documentation, and human-interest content showcasing impact.

    • Reporting
      • Prepare and edit with the Communications Officer high-quality monthly, quarterly, and final narrative reports, ensuring they are aligned with OHF and WFP templates and standards.
      • Coordinate with field teams, M&E, and finance to collect and consolidate inputs for reports.
      • Support the preparation of internal briefs, presentations, and donor updates.
      • Communication and Visibility
        • Liaise with the Communications Officer and field teams to ensure proper visibility for project activities. etwQvFr BTn6yA
        • Ensure that donor branding and communication guidelines are adhered to across materials and events.
        • Assist in preparing content for newsletters, social media posts, and external communications related to the project, as needed.
        • Compliance and Quality Assurance
          • Ensure that all reports and documentation reflect accurate data, gender-sensitive language, and inclusive terminology.
          • Ensure confidentiality, accuracy, and consistency in all forms of documentation.
          • Track submission deadlines and maintain a reporting calendar to ensure timely delivery to stakeholders.

The requirements

REQUIRED QULAIFICATIONS:

  • Bachelor’s degree in Communications, Development Studies, Journalism, Social Sciences, or a related field.
  • At least 3 years of experience in documentation, reporting, or communication in development or humanitarian settings.
  • Excellent writing, editing, and proofreading skills in both English and Arabic.
  • Strong attention to detail and ability to synthesize complex information.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint); familiarity with design tools and photo editing is a plus.
  • Knowledge of donor reporting requirements, especially WFP or other UN agencies, is an advantage.
  • Ability to travel occasionally to field sites to gather content and documentation.
  • Demonstrated ability to work under pressure and meet tight deadlines.

WORKING CONDITIONS:Hybrid work that is a blend of in-office and field visits.
