Under the direct supervision of Supply Chain Officer in Nairobi, the incumbent will be responsible for handling Logistics, Asset and Inventory Management activities in the Mission

Responsibilities

  • Maintain and update assets inventory list and ensure all relevant information is updated in the ERP system in line with the physical data, asset movement and changes record.
  • Generate asset QR sticker and ensure all assets are tagged and scanned; proactively replace and update the sticker as required in case of worn-out or missing
  • Conduct bi-annually physical asset inventory according to IOM rules and guidelines, update the information such as serial number, location, user, room & last inventory date; and update the Asset Assignment/Return Form accordingly.
  • Conduct disposal, transfer or retirement of asset and non-asset equipment. Prepare relevant documenation such (but not limited to) Asset Disposal Form for missing, broken or obsolete assets and Asset Transfer Form. Obtain approval at the Mission and CAS Asset levels.
  • Draft Deed of Donation or Donation Acceptance Form as required, for IOM assets or beneficiary assets that need to be donated.
  • Monitor that all IOM premises, assets and properties are protected and comprehensively insured annually against natural disaster, civil unrest, fire and theft. Liaise, submit and follow up claims as required with the insurance company.
  • Prepare Common Service procurement agreements, and make amendment for change or renewal in timely manner. Maintain tracking of the agreements and ensure proper record.
  • Assist in receiving delivery of goods/service from vendors, sign the Receiving Report and record the receipt in IOM ERP system
  • Monitor that the online stock inventory system is updated and the stock balance doesn’t fall below the minimum re-order level. The balance on the online records should correspond with the quantities of products in the store.
  • Maintain proper storage and inventory system for IOM assets and equipment that are not in use by staff members, and ensure they are safely stored. Report any issue and damage to the supervisor.
  • Assist in monitoring loading/offloading activities and office maintenance works and prepare gate pass for releasing goods from the office premise
  • Conduct physical vendor verification during vendor creation process as requested
  • Do proper e-filing for Logistics, Asset and Inventory related documents
  • Undertake field travel as required

Qualifications

Education

High School diploma with five years of relevant professional experience,

or

Bachelor´s Degree in Business Administration/Supply Chain/Logistics/Commerce or any Diploma in the related field with three years of relevant professional experience

Experience

  • Practical experience in supply chain/logistics/warehousing,
  • Awareness in asset inventory and filing matters.
  • Honest, hardworking and trustworthy.
  • IOM knowledge in asset management.

Skills

  • In-depth knowledge in Supply Chain and Logisitcs Management

Languages

  • fluency in English and Kiswahili is required (oral and written).

IOM’s official languages are English, French and Spanish.
