Job Title: Finance Control Officer

Location: Abuja (FCT)
Employment Type: Full-time

The Role

  • The successful candidate will support the Finance Controller in overseeing the financial operations of MSI Nigeria Reproductive Choices, ensuring accuracy in financial reporting, compliance with financial regulations, and effective financial planning.
  • This role holder will be responsible for ensuring the integrity of the financial management system throughout the country programme, ensuring adherence to internal control policies and compliance procedures.

Key Responsibilities
Financial Management and Reporting:

  • Review financial transactions ranging from N500,000 to N2 million prior to the Finance Manager’s approval.
  • Perform daily checks on payment documentation to ensure accuracy and proper archiving.
  • Conduct monthly reviews of statutory remittance schedules to guarantee timely remittance of statutory deductions.
  • Generate and analyze debtor and creditor aging reports, advising the Finance Controller on overdue accounts for necessary action.
  • Obtain and securely archive evidence of statutory deductions payments on the finance SharePoint platform.
  • Send monthly reminders of statutory deadlines to Regional Finance Officers (RFOs) to ensure compliance.
  • Ensure adherence to accounting standards, regulatory requirements, and organizational policies.
  • Assist the Finance Controller in coordinating audits (internal and external), preparing audit schedules, and addressing any findings within established timelines.
  • Conduct bank reconciliations and provide support for monthly financial close activities.
  • Actively participate in monthly balance reconciliation processes.
  • Provide guidance to finance team members on reviewing and archiving financial documents

Internal Controls and Compliance:

  • Assist in developing, implementing, and maintaining robust internal control procedures to protect assets.
  • Follow up with relevant stakeholders on the implementation of audit recommendations and closing out of open items.
  • Prompt reminders on statutory reports and compliance requirements across the country programme.
  • Conduct periodic evaluations of established controls to assess their effectiveness and make recommendations for improvement.
  • Support in overseeing tax compliance and filing requirements,
  • Assist in the monthly remittance of statutory deductions.
  • Review and ensure adherence to financial policies and procedures across the organization.
  • Follow up with the inventory unit on timely preparation and posting of monthly stock consumption reports.
  • Participate in periodic physical inventory counts for commodities and fixed assets to ensure accurate asset tracking.
  • Conduct spot checks at regional offices on a rotational basis to validate adherence to inventory management procedures.
  • Conduct preliminary risk assessments within cash management, inventory, and financial transactions and escalate findings.
  • Support regular reviews and updates of policies, ensuring alignment with changes in regulations and organizational needs

Financial Analysis and Strategy:

  • Prepare preliminary financial analysis reports to support business decision-making.
  • Assist in preparing reports and presentations for senior management.
  • Support strategic recommendations aimed at enhancing operational financial performance through data collection and analysis

Systems and Process Optimization:

  • Support in maintaining and improving financial systems, processes, and controls.
  • Assist with finance-related projects, including system upgrades and process automation initiatives.
  • Identify and recommend areas for process improvement to enhance efficiency and accuracy

Team Collaboration and Support:

  • Work closely with the finance team and other departments to ensure smooth financial operations.
  • Provide financial data, reports, and analysis to support various functions

Key Experience and Qualifications

  • University Degree in Accounting, Economics, Finance, or Business Administration; Master’s Degree is an added advantage
  • A member of any recognized professional body will be an added advantage. E.g., ACCA, ACA, CIA, etc.
  • Minimum of 3 years post-NYSC experience in internal controls and compliance, preferably in an NGO/INGO.
  • Fair knowledge of grants and project management.
  • Familiarity with accounting software (preferably SUN).

Skills:

  • Handling of highly confidential information.
  • Significant experience in internal controls and compliance.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Knowledge of standard accounting software packages (QuickBooks, SUN Systems).
  • Understanding of organizational dynamics and maintaining objectivity.
  • Strong organizational and coordination skills.
