Finance Coordinator

Organisation Description: Johanniter-Unfall-Hilfe e.V. (www.thejohanniter.org) is a German Christian non-governmental organisation, dedicated to excellence in the field of first aid, ambulance service, social service programmes and other projects in the medical and social field. The Federal Headquarters are based in Berlin, Germany. Johanniter International Assistance is the operational unit for humanitarian aid, development co-operation and emergency relief, implementing and supporting projects in Health, Nutrition, WASH as well as Food Security & Income Generation worldwide

Background

Johanniter International Assistance has been active in DRC since 1995, with a focus on North Kivu since 2008. Its overall objective is to reduce mortality and morbidity by improving the health conditions and reducing vulnerability of IDPs and host population. In close cooperation with the Ministry of Health, interventions aim to improve the access to quality primary health care, to support the nutrition status of children under five, pregnant and lactating women and other vulnerable people (e.g. elderly people, people with disability, people living with HIV/AIDS, and survivors of SGBV) as well as improved access to water, sanitation.

In a Nutshell

  • You will be responsible for all financial management aspects of Johanniter’s country programme under the direct supervision of the Head of Mission.

What you will do:

Accountancy:

  • Assure Johanniter’s financial procedures are in compliance with Government and donor financial obligatory law and regulations
  • Monthly field accounts and timely preparation of financial reports for donors and headquarters (monthly closing, bank transfers, cash requests, travel claims) in compliance with donor and Johanniter procedures
  • Management of bank accounts, money transfers and maintain good cash flow in compliance with guidelines of donors and Johanniter
  • Supervise payment orders and improvement of payment procedures
  • Organise and coordinate internal or external audits and ensures relevant recommendations from audits are being implemented
  • Take measures for cost controlling in consultation with the Head of Mission
  • Fully adhere to JUH internal “Guideline on How to Deal with Cases of Corruption, Fraud and Conflict of Interest” and reports immediately if any irregularity (fraud, cheating, etc.) noticed
  • Set-up and maintain systematic and complete filing system for all donor and audit-relevant documents (financial documents)

What you will do cont:

Budget Management:

  • Prepare overhead and project budgets, budget revisions and extensions in compliance with financial guidelines of donors and Johanniter
  • Monitor budgets, give relevant advice concerning financial matters and inform Head of Mission, Project Coordinators and HQ desk officer regularly on financial status
  • Verify and support partner organisations with financial reporting
  • Preparatory review of proposals and grant agreements/contracts prior to submission to the donors/HQ including liaising with the programmes team ensuring programme proposal correlates with organisational budged and guidelines
  • Supervise payment orders and improve payment procedures
  • Organise and coordinate of internal or external audits and ensure relevant recommendations from audits are being implemented

Administration:

  • Set-up and maintain a systematic hard and soft copy filing system for all finance related administrative matters

Other:

  • Assist the Head of Mission in security management
  • Represent Johanniter in relevant forums and networks
  • Regularly coordinate all above mentioned aspects with the Head of Mission and the Desk Officer and Controller in Berlin

Representation and Communication

  • Represent Johanniter International Assistance in relevant forums and networks Proactively engages with management in areas where improvement is needed to ensure good coordination and appropriate information sharing,

What you bring:

  • A University Degree in Business Administration/Accountancy or equivalent degree/experience
  • At least 3-5 years of experience in accounting, financial management in the field of humanitarian aid / development cooperation
  • Proficient user of accountancy and financial software – experience in SUN-Systems is a plus
  • Experience in working with public donors
  • Ability to write reports and work instructions
  • Sense of delegation and commitment to local capacity building
  • Fluent in English and French with excellent verbal and written communication skills
  • Knowledge of German is desirable
  • Cultural sensitivity and team competence

Johanniter-Unfall-Hilfe e.V. (JUH; German for "St. John Accident Assistance"), commonly referred to as Die Johanniter, is a voluntary humanitarian organisation affiliated with the Brandenburg Bailiwick of the Order of St John, the German Protestant descendant of the Knights Hospitaller. The organisation was founded in 1952 in Hanover under the leadership of Rudolf Christoph Freiherr von Gersdorff. One of the main reasons for its creation was the rise in injuries and deaths from road traffic accidents (hence the word "accident" in its name). JUH participates in international aid efforts together with its sister organisations in other countries as part of the Johanniter International partnership; it also works with the German Malteser Hilfsdienst, affiliated to the Catholic Sovereign Military Order of Malta. As of 2008 the organisation had 28,300 active volunteers and youth members and around 1,500,000 registered members.Among recent developments of JUH in Germany is the establishment of local and regional groups that provide first responder services on horseback (see Mounted search and rescue).
