JOIN US! POSITION DESCRIPTION

We are seeking a dedicated and passionate Finance Officer to join our team. The Finance Officer will be responsible for ensuring efficient financial management and compliance with PSI’s policies and donor requirements. This role involves maintaining financial records, preparing budgets, processing payments, and providing financial analysis to support project implementation. The Finance Officer will also be responsible for performing essential banking functions, accounts and disbursement management, payroll functions, and handling other routine accounting duties.

RESPONSIBILITIES OF THE JOB:

  1. Banking Functions:

  • Pay bills and write checks as needed to maintain the smooth operation of the organization’s financial obligations.
  • Process fund transfers and record deposits accurately in the accounting system.
  • Scan and attach bank-related documents in SharePoint for easy access and record keeping.

2. Accounts and Disbursement Functions:

  • Ensure timely processing of payments, ensuring all payments are properly supported and documented, up to the filing stage.
  • Ensure that proof of payment is attached to every payment voucher prior to filing and ensure payments are in compliance with the company’s procedures.
  • Ensure all statutory payments (e.g., taxes, pensions, gratuity) are processed on time.
  • Maintain petty cash, including custodianship, posting the petty cash log, and performing monthly reconciliation.

3. Payroll Functions:

  • Collect information and prepare payroll payments for employees.
  • Prepare monthly payroll, including payroll deductions and payment uploads.
  • Prepare and maintain schedules for tax, pensions, gratuity, and other statutory deductions.

4. Other Accounts Functions:

  • Perform routine calculations to produce analyses and reports as requested by the supervisor.
  • Oversee and manage individual staff accounts as required.
  • Maintain and track staff advances, ensuring timely retirement and proper documentation.
  • Review expense reports, ensuring all calculations and data entries are accurate.
  • Reconcile discrepancies or errors identified by liaising with employees and/or consultants.
  • Review and adhere to program budgets, ensuring accuracy and compliance.
  • Report any troubling findings or suspicion of wrongdoing to the appropriate authorities.
  • Assist in preparing regular financial reports and ensure their accuracy.
  • Adhere to PSI’s financial policies and procedures.
  • Answer questions and provide assistance to stakeholders, customers, and clients as needed.
  • Suggest changes or improvements to enhance accuracy, efficiency, and cost reductions.
  • Collaborate with team members to ensure PSI Nigeria’s goals, objectives, and results are met on time.
  • Write and post cheques, pay bills, record deposits, and enter receipt vouchers in QBE.
  • Initiate bi-weekly Operating Advance Request (OAR) by collating and consolidating documents for review, approval, and processing of transfer.
  • Perform any other duties as assigned by the supervisor.

QUALIFICATIONS:

  • BSC/HND in Accounting, Finance, Business, Economics or a related field
    • Professional certification (or part qualification) in accounting (e.g., ACA, ACCA, CPA) is an advantage.
    • At least 3–5 years of experience in a finance/accounting role, preferably within an NGO or donor-funded project.
    • Strong knowledge of financial regulations, accounting principles, and donor requirements.
    • Proficiency in QBE accounting software, and MS Office, especially Excel.
    • Excellent mathematical skills and understanding of data privacy standards.
    • Integrity, honesty, and customer-service skills.
    • Solid communication skills, both written and verbal.
    • Familiarity with business principles and practices.
    • Superior attention to detail.
    • Excellent organizational skills; planning skills; problem-solving skills; analytical skills; critical thinking skills.
    • Excellent computer skills, particularly with spreadsheets and calculation software.
    • Passionate about working on international health and development, with a focus on all reproductive health issues.

    • May involve working extra hours during peak financial reporting periods.

PSI’s first HIV prevention project — which promoted abstinence, fidelity and condoms — began in 1988. PSI added malaria and safe water to its portfolio in the 1990s and tuberculosis in 2004.

HEALTH IMPACT

PSI has an uncompromising focus on measurable health impact and measures its effect on disease and death much like a for-profit measures its profits. Just last year PSI saved the lives of 9,246 mothers, prevented 3,896,671 unintended pregnancies, stopped 234,367 new HIV infections, and avoided 379,286 deaths due to diseases like malaria, diarrhea and pneumonia that most threaten young children.
