Job Purpose

Assist the human resources department in the administrative management of personnel, contribute to the management of the company’s general services, and ensure the smooth operation of daily activities.

Job Responsibilities

  1. Administrative Management of Personnel:
    • Prepare employment contracts, amendments, and other administrative documents.
    • Manage personnel files (entries, exits, updating information).
    • Track absences and leave.
    • Ensure the HR dashboards are up to date.
  2. Support for HR Activities:
    • Participate in the recruitment process (sorting resumes, scheduling interviews, welcoming candidates).
    • Contribute to the organization of internal and external training.
    • Assist in the implementation of HR projects.
  3. Management of General Services:
    • Manage office supplies and oversee orders.
    • Coordinate maintenance and cleaning services.
    • Participate in the logistical organization of internal events.
    • Participate in the purchase of new items in coordination with the logistics department.
    • Handle purchasing tasks and ensure procurement processes are followed.
    • Manage the guest house, including bookings, maintenance, and ensuring the comfort of guests.
  4. Administrative Support:
    • Handle physical and telephone reception.
    • Manage incoming and outgoing mail.
    • Ensure filing and archiving of administrative documents.
    • Prepare meeting minutes and various reports.
    • Manage ticketing, hotel reservations, and visa applications for employees.

Job Requirements

  • Technical:
    • Good command of office tools (Word, Excel, PowerPoint).
    • Knowledge of HR software is a plus.
  • Personal:
    • Rigorous and well-organized.
    • Good communication skills.
    • Discretion and respect for confidentiality.
    • Ability to work in a team and manage priorities.

Education and Experience

  • Bac +2/3 in Human Resources, Administration, or a similar field.
  • 1 to 2 years of experience in a similar position is desirable.
