The Role

Brooke is looking to recruit a Human Resource and Administration Officer who will support in delivering the HR and Administration objectives in a timely and accurate manner. The HR and Administration Officer will be responsible for supporting in the management of human resources and administrative functions within the organization. This role ensures that HR policies and procedures are effectively implemented and adhered to, and that the administrative operations run smoothly and efficiently. The HR and Administration Officer will play a crucial role in fostering a positive work environment, supporting staff development and talent management, and ensuring compliance with all relevant employment laws and regulations.

Main duties and responsibilities

  1. HR Operations
  • Assist in the execution of HR operational processes for BEA, including recruitment, onboarding, performance management, and end of service.
  • Maintain and update employee leave records in accordance with the data protection regulations
  • Support in ensuring all policies and standard operating procedures are updated in time
  • Assist in managing staff medical cover and pension scheme
  • Support implementation of occupational safety and health policy
  • Ensure employees files are updated regularly
  • Support in planning and organizing the staff team buildings and staff trainings.
  • Design and implement training and development programs to enhance employee growth.
  • Identify and assess training needs within the organization and coordinate appropriate learning initiatives.
  • Support implementation of performance appraisal system to drive performance.
  • Develop and implement strategies to enhance employee engagement and job satisfaction.
  • Monitor employee turnover rates and develop initiatives to improve retention.
  • Support in the creation and maintenance of succession plans for critical roles.
  • Conduct salary benchmarking and market analysis to ensure competitive compensation packages.
  • Collaborate with the BEA management on the identification and resolution of employee conflict or need for disciplinary action.
  • Support the oversight of general office tidiness.
  • Maintain good working relations with service providers and ensure quality services are provided in time

2. Administration

  • Ensure office assets are well maintained and in safe custody
  • Conduct periodic inventory of office assets
  • Secure all fixed assets by ensuring they are insured and stored in safe custody
  • Control usage of assets to avoid wastages
  • Ensure bi-annual advertisement and registration of suppliers
  • Support in procurement in line with approved budget and guidelines.
  • Ensure organisation vehicles are at all times well maintained and in good condition.
  • Support the process of taxi or car hire arrangements in response to the needs of staff and the organization.
  • Bookings for accommodation and air travel are efficient and timely.
  • Support in the management of airport transfers and hotel bookings for all BEA guests and support for all meetings.

Knowledge, qualifications, skills and experience

  • Professional / technical qualifications: A Bachelor’s degree in Human Resource, Business Administration, or a related field from a recognized university.
  • Competency in Human Resource Management, Procurement and Logistics
  • Must have a minimum of (5) years’ experience in HR and office administration in busy organization
  • Must be a member of IHRM or any other relevant professional body
  • Knowledge on information security
  • Must have good representation skills and excellent communication skills in both the written and the spoken word
