Peace Winds Japan (PWJ) is a Japanese Non-Governmental Organization established in 1996. PWJ has been providing humanitarian and development assistance for people affected by forced displacement and natural disasters in more than 20 countries in the world.

PWJ launched its mission in Kenya in 2012 and has been implementing projects funded by UN agencies and the government of Japan in the shelter, WASH, supply chain support, food security to improve the living environments of refugee and host populations while promoting integration and sustainable solutions for protracted refugee situation in Kenya.

Job Purpose:

The Human Resource Assistant will support the HR department in the implementation of HR functions, ensuring compliance with organizational policies and procedures. The role includes in assisting in recruitment, payroll processing, employee relations, and administrative HR tasks.

Key Responsibilities:

1. Recruitment and Onboarding

  • Assist in advertising job vacancies and screening applications
  • Schedule and coordinate interviews and assessments
  • Support in the preparation of employment contracts and offer letters
  • Facilitate new employee onboarding and orientation programs

2. Employee Records and Management

  • Maintain and update employee records, including employment contracts, leaves, and performance appraisals
  • Ensure HR documents are filed accurately and confidentially
  • Assist in tracking probation periods and contract renewals

3. Payroll and Benefits Administration

  • Support in payroll processing, ensure accuracy in salaries as per donor allocations, deductions, and benefits
  • Assist in maintaining records related to statutory deductions (NHIF, NSSF, NITA, HL, PAYE)
  • Handle staff medical insurance claims and benefits administration

4. Employee Relations and Welfare

  • Respond to employee inquiries regarding HR policies and benefits
  • Support in handling grievances and disciplinary matters as per organizational policies
  • Assist in organizing staff welfare activities and events

5. Compliance and Policy Implementation

  • Ensure compliance with labor laws and organizational HR policies
  • Assist in implementing HR policies and standard operating procedures (SOPs)
  • Support in conducting HR audits and ensure proper documentation

Required qualifications, skills and experience Education:

Bachelor degree in Human Resources Management, business administration and/or a Diploma in Human Resources Management/Business administration.

Experience:

3 years’ relevant experience in a similar position or as a Human Resource Assistant in a non-profit organization. Microsoft Office packages applications and familiar with HR System

Language Skills:

English: professional fluency, Kiswahili: native/advanced

Competencies:

  • Excellent knowledge of Kenyan labour legislations.
  • Proven skills in conflict resolution.
  • Proficiency in Microsoft Suite.
  • Excellent interpersonal and negotiation skills.
  • Excellent People Management skills.
  • Demonstrable behavioural competencies including; Diversity, Proactive -Problem Solving, Stress Tolerance, Collaboration, Coaching, Developing Teams, Planning and Organizing, Managing Performance for Success and Delegating Responsibility

Duration and Contract Type:

Yearly contract based on performance and funding availability.
