Job Title: Inventory/ Stores Management Officer

Reports to : Procurement Coordinator

Terms: One year renewable

Position Overview:

Heshima Kenya is a non-profit organization based in Nairobi, Kenya and dedicated to identifying, protecting and empowering unaccompanied refugee children and youth; especially adolescent girls, through our specialized shelter, education and advocacy programs. The inventory officer is responsible for stores management: receiving, storing, issuing the goods, managing the stock levels and giving out the supplies from the stock. He/she is also involved in preparing the inventories, maintaining the stock records, using computerized systems for entering the records and is accountable for checking the supply invoices with the purchase orders. He/she is responsible for preparing the reports on adjustments done to inventories that may be wasted and or damaged, spoilt, etc., and coordinates the purchasing, inventory and stores

The position reports to the procurement coordinator

Core Responsibilities:

  1. Responsible for mainly management of Maisha Collective stores with responsibility to other stores
  2. Maintains independent record of all relevant documents for Inventory Control and Accounts Receivable for Maisha Collective specifically
  • Physical fabric per type and color, dye and other items measurement and weight records.
  • Color way inventory calculations and maintenance.
  • Product batch specifications.
  • Product / fabric/ scarves reports and investigations.
  • Bills of lading for all incoming and outbound consignments
  • Customer monthly supply statements.
  • Reconciliation of consignments taken out for exhibitions, events sales and balances returned to stores
  • Reconciling of stocks in various outlets
  • Issuing of gates passes for all scarves consignments and single sales moving from the Maisha Collective stores
  1. Setting inventory levels /stocking & restocking levels
  2. Ensuring security of all the stocks in the stores
  3. Receiving and issuing of stocks to the stores
  4. Preparing weekly stock usage, sales and stock balances using tracking
  5. To oversee that the arrangement of goods has been done in an orderly system within the stock location so that the stock can be stored easily and retrieved whenever there is a requirement. Similarly, he/she ensures that the stocks stay physically protected in the stores
  6. To undertake the function of stock taking, valuation and confirm the periodic stock on a regular basis by working closely with the designated staff members
  7. To supervise the offloading process, the subsequent arrangement of merchandise, material, etc., and consignment so that it can be accessed and identified easily
  8. Custodian of all the stores keys

Qualifications& Experience:

  • First degree, Diploma, certificate in with 2 years of strong experience in Stores/ Warehouse management, Supply Chain Management or any Business related discipline
  • Outstanding interpersonal relationship
  • Good communication skills
  • Skilled in inventory establishment, maintenance and management
  • Minimum 3 years relevant work experience gained in a comparable job which has involved inventory management and customer service.

Nearly 60%  of the young women supported by Heshima Kenya report having experienced some form of sexual and gender-based violence, though this percentage is believed to be closer to 80% as most do not report these incidents.We provide safety and shelter for our most vulnerable participants, deliver a multi-disciplinary education program for students of diverse levels, support economic empowerment through our scarf-making social enterprise, provide childcare, accompany our participants to legal and medical appointments, and work within refugee community in Kenya to identify, protect and fight for the rights of  the most vulnerable.
