Role Summary
This is an excellent opportunity for an early-career HR professional who is eager to gain hands-on experience across multiple HR functions including digital staff filing, contract management, leave administration, recruitment support, onboarding, performance management support, and employee engagement.
1. Staff Records & Digital Filing
- Create, organize, and maintain accurate digital personnel files for all staff.
- Ensure staff records (contracts, IDs, certificates, evaluations) are complete, up to date, and confidential.
- Support the transition and maintenance of efficient digital filing systems.
2. Contract & Documentation Management
- Prepare, issue, track, and archive employment contracts, renewals, and amendments.
- Monitor contract and probation end dates and alert management in a timely manner.
- Ensure HR documentation aligns with school policies and labor requirements.
3. Leave & Attendance Administration
- Manage staff leave requests, balances, and records in line with school policies.
- Maintain accurate attendance and absence records.
- Prepare HR inputs related to leave and attendance for payroll processing.
4. Recruitment, Onboarding & Offboarding Support
- Assist with recruitment activities including job postings, CV screening, interview scheduling, and documentation.
- Support onboarding new staff through document collection, induction coordination, and system setup.
- Assist with offboarding processes, clearance forms, and exit documentation.
5. Performance Management & Training Support
- Support performance appraisal cycles by tracking timelines, distributing forms, and filing evaluations.
- Maintain training and professional development records.
- Assist in coordinating staff training sessions and workshops.
6. HR Compliance, Policies & Reporting
- Support implementation and communication of HR policies and procedures.
- Assist in monitoring compliance with labor laws, contracts, and internal HR processes.
- Prepare basic HR reports such as staff lists, leave summaries, contract status, and headcount reports.
7. Employee Engagement & Welfare
- Support staff engagement activities, meetings, and internal communications.
- Assist with staff welfare initiatives and feedback collection.
- Serve as a first point of contact for routine HR inquiries.

Qualifications
- Diploma or bachelor’s degree in human resources, Business Administration, Management, or a related field.
- 1–3 years of experience in HR administration or office administration (school, NGO, or institutional experience is an advantage).
- Basic understanding of Ethiopian labor laws and HR practices is desirable.
- Proficiency in Microsoft Word and Excel; experience with digital filing systems is an advantage.
