KikoRomeo is seeking a skilled Logistician to support the implementation of the project “WINGS: Work, INclusion, Growth and Sustainability for women, youth and people with disabilities in Kenya”, in partnership with CISP and funded by the Ministry of Foreign Affairs and International Cooperation (MAECI) through the Italian Agency for Cooperation and Development (AICS).

Project background:

The WINGS project is a 36-month initiative in Kenya focusing on the school-to-work transition and aims to improve access to productive and decent work for vulnerable individuals, particularly women, youth, and persons with disabilities, in five target counties: Nairobi, Mombasa, Kisumu, Nakuru, and Uasin Gishu. The project addresses the issues of informality and unemployment by focusing on two specific sectors: domestic work and support staff, and ethical and sustainable fashion.

Result 3 of the WINGS project specifically focuses on promoting employment development in the ethical and sustainable fashion sector in Kenya and encouraging the growth of fashion businesses. The project intends to offer a structured and comprehensive programme encompassing online fashion business training, specialised technical training for designers and artisans in Mombasa, Nairobi and Kisumu, access to an advanced fashion lab with a showroom in Nairobi, and support for entrepreneurship, while fostering sustainable development and decent job creation. Through CISP, this result also aims to engage with academia, facilitating knowledge transfer and enhancing long-term training provision in the sector.

Role Summary

The Project Logistician will play a critical role in ensuring the smooth planning and execution of all logistics, procurement, and operational activities under the WINGS project—particularly within the ethical and sustainable fashion component. This role will directly support training delivery, fashion lab operations, and multi-city coordination to enable an efficient and impactful learning and production environment. We are seeking someone who is equally good at the administrative side of logistics as well as being practical and hands on, organising room layouts, making sure technical devices work and that people from a variety of backgrounds are able to feel comfortable in our training spaces. The ability to operate and assemble an industrial sewing machine, while not essential, would be an added advantage.

Key Responsibilities:

1. Logistics & Operations Coordination

  • Plan and coordinate logistics for project activities across Nairobi, Mombasa, and Kisumu
  • Organize logistics for training sessions, workshops, and residencies, including venues, materials, equipment, and participant coordination.
  • Support participant logistics, including communication, scheduling, and coordination for training and lab access.
  • Ensure timely availability and distribution of training materials and equipment, including fashion lab tools and supplies to fully support the training program both online and in-person.

2. Fashion Lab Technical Operations Support

  • Support the setup, organization, and day-to-day operations of the Fashion Innovation Lab
  • Ensure availability and proper organization of sewing machines, cutting equipment, and workshop tools
  • Coordinate routine servicing, maintenance, and repair of equipment with external technicians
  • Manage storage, handling, and tracking of fabrics, trims, and production materials
  • Support trainers and participants during practical sessions by ensuring all tools and materials are prepared and functional
  • Promote safe use of equipment and adherence to basic workshop safety standards

3. Procurement & Vendor Management

  • Manage procurement processes in line with AICS, CISP, and KikoRomeo guidelines
  • Coordinate sourcing and contracting of service providers (venues, trainers, catering, accommodation, transport).
  • Prepare and maintain procurement documentation and vendor records
  • Support contract management and service delivery follow-up

4. Inventory & Asset Management

  • Maintain an accurate and up-to-date inventory and asset register for all project equipment, including fashion lab tools
  • Track movement, allocation, and condition of assets across locations
  • Work with the lab technician to ensure proper storage, maintenance, and accountability of equipment

5. Training, Participant & Learner Logistics Coordination

  • Coordinate participant logistics including communication, scheduling, and training access
  • Support onboarding and coordination of designers, artisans, and trainees
  • Ensure smooth delivery of training sessions and lab access to program participants
  • Coordinate learner travel logistics including transport arrangements, reimbursements, and scheduling for training sessions and residencies
  • Ensure timely communication of travel plans, directions, and reporting details to participants
  • Support equitable access by organizing transport solutions that enable participation from diverse and vulnerable groups
  • Track attendance in relation to travel coordination and address any logistical barriers affecting participation

6. Travel & Field Coordination

  • Support field missions and staff movement planning across project locations.

7. Compliance & Safeguarding

  • Ensure all logistics operations align with organizational code of conduct and donor regulations.
  • Support implementation of safeguarding policies, including PSEA
  • Maintain confidentiality and compliance with data protection standards

8. Reporting & Documentation

  • Prepare and submit weekly logistics updates to the Project Manager outlining readiness for upcoming trainings, workshops, and Fashion Lab activities
  • Develop and submit monthly logistics and operations reports to the Project Manager, summarizing activities supported, learner logistics, procurement status, and key challenges
  • Maintain accurate and up-to-date procurement and logistics documentation in line with donor (AICS) requirements
  • Support the Lab technician in preparing and regularly updating inventory and asset registers for all project equipment, tools, and materials
  • Support preparation of donor and internal reports by providing timely and accurate logistics and data
  • Work closely with the Project Accountant to ensure proper documentation and reconciliation of logistics and procurement-related costs, including learner travel

Key Deliverables:

  • Efficient coordination and delivery of logistics for all project activities
  • Procurement and service provider contracts in compliance with donor requirements
  • Properly managed inventory and asset register for the Fashion Innovation Lab
  • Timely availability of training materials and equipment
  • Organized logistical documentation to support project reporting and audits
  • Reorganisation of physical spaces to suit the needs of specific trainings and events

Requirements:

Education:

  • A university degree or diploma in Logistics, Supply Chain Management, IT, Procurement, Business Administration, or a related field

Professional Experience:

  • Minimum 2–4 years of experience in logistics, procurement, or operations, preferably in training projects
  • Experience organizing logistics for training, workshops, or events.
  • Experience in fixing things that don’t work as planned
  • Experience managing procurement processes and vendor coordination.
  • Familiarity with inventory and asset management systems.
  • Experience in donor-funded projects is an added advantage
  • Experience with ERP systems (e.g., Odoo) is desirable

Desirable skills:

  • Experience working in the fashion, textile, or creative production sector is an added advantage
  • Experience working in multi-location projects (e.g., Nairobi, Mombasa, Kisumu)
  • Knowledge of fashion production tools, equipment, or creative sector logistics
  • Knowledge of fashion machinery and ability to use a sewing machine
  • Strong vendor and stakeholder management skills

The International Committee for the Development of Peoples (CISP) is a nongovernmental organization (NGO) established in 1983 with headquarters in Rome, Italy . The principles and purposes of the organization are summarized in the Declaration of Intent and the Code of Conduct for cooperation programs . The Statement of Purpose "For the Rights and against Poverty: Approaches and Operational Priorities CISP", developed with input from all players in the See of Rome and offices in third countries, defines the priorities of the CISP, built around the main objectives of combating poverty and social exclusion .

MAIN ACTIVITIES AND PRIORITY AREAS FOR ACTION

a) the right to social security and economic as the development of income opportunities, migration, development and food security; b) the right to health , access to water and environmental sanitation ; c) the right to the future understood as the rights of children , adolescents , young people and enhancing the environment and natural resources ; d) the right to humanitarian assistance that emergency and first reconstruction; e) the support to public policies for social cohesion and civil society .

The CISP projects are designed not only to meet the priority needs and solve real problems in the country and in the action, but also as tools to identify, formulate and consolidate specific sectoral policies . Two interrelated purposes, because the possibility that an inspiring project or strengthens a policy address depends on its impact, the effectiveness and the credibility of those who carry it out. In this in 1997 , CISP has been the Co-operation and Development Network (CDN) of Pavia, in collaboration with the University of Pavia, the School of Pavia IUSS and two other NGOs.

The CISP processes and produces publications and audio-visual material and promotes opportunities for meetings and investigation to disclose and inform public opinion, the experience of cooperation more meaningful.

FUNDING AND RESOURCES

The CISP projects make use of funding and contributions from private individuals , associations, foundations, companies and Italian public institutions and international. Among the latter: the European Union , Ministry of Foreign Affairs , Italian local authorities, agencies, UN , governmental agencies of countries' Organization for Economic Cooperation and Development ( OECD ), national governments and local authorities in the countries in which it operates.

CISP, already formal approval under the Act 26 February 1987, n. 49 and considered a non-profit social organization (NPO) in accordance with art. 10, paragraph 8, of Legislative Decree 4 December 1997, n. 460, is also enrolled in the registry office of NPO of the Lazio Region (NGO sector activities).

CISP is part of the ' Directory of Civil Society Organizations and other subjects not-for-profit Italian Agency for Development Cooperation (Decree n. 2016/337/00161/4).

It is recognized Association (N ° 752/2010 of the Register of Legal Persons at the Prefecture of Rome), also registered in the Register of entities and associations operating in favor of immigrants at the Ministry of Labor and Social Policy (A / 138 / 2001 / RM).
