Role Overview:
INARA is seeking a highly motivated and organized Logistics Assistant to support our operations in Cairo, Egypt. This role offers a unique opportunity to contribute to administrative tasks, logistics coordination, and humanitarian aid delivery within a dynamic and impactful organization committed to providing critical medical assistance to children affected by conflict.
Key Responsibilities:
Office Management
- Develop and maintain a system for scheduling and tracking office maintenance requests (electricity, gas, heating, etc.).
- Coordinate with service providers to ensure timely repairs and maintenance of office equipment and facilities.
- Manage office supplies inventory and order new supplies as needed.
- Oversee office space utilization and may coordinate any necessary re-arrangements.
- Maintain a professional and organized work environment in the Cairo office.
- Facilitate communication and collaboration between the Cairo office and the other regional offices.
Patient Care Logistics
- Research and arrange transportation options for beneficiaries based on their needs.
- Book appropriate accommodation for beneficiaries receiving medical care, considering factors like budget and medical requirements.
- Develop and manage a system for booking and tracking local travel arrangements for employees.
- Ensure all travel arrangements for beneficiaries and employees adhere to INARA’s policies and budget.
Procurement and Logistics
- Identify and research potential suppliers for various goods and services needed by INARA’s operations.
- Negotiate and finalize contracts with chosen suppliers, ensuring best value for INARA.
- Receive and process invoices and receipts for procured goods and services.
- Maintain regular communication with hospitals and medical centers, ensuring timely delivery of necessary supplies and equipment.
- Monitor inventory levels for essential supplies and initiate purchase orders when needed.
Warehouse Management
- Oversee the storage, organization, and inventory management of goods and supplies.
- Ensure the warehouse is well-maintained and that all items are properly cataloged.
- Implement a system for tracking and managing warehouse stock levels, ensuring that inventory is replenished as needed.
- Coordinate with suppliers to ensure timely delivery of goods to the warehouse.
- Ensure compliance with safety protocols and regulations in the warehouse environment.
Vehicle Management
- Oversee the management and maintenance of vehicles used by INARA.
- Ensure all vehicles are regularly serviced and in good working condition.
- Ensure all vehicles are insured, have the necessary documentation, and comply with local traffic regulations.
- Develop and maintain a system for tracking vehicle usage, fuel consumption, and maintenance schedules.
- Coordinate with drivers for vehicle scheduling and ensure vehicles are available when needed for operational purposes.
- Manage the process for vehicle repairs and ensure that vehicles are roadworthy.
Qualifications:
- Bachelor’s degree in Business Administration, Logistics, International Relations, or a related field preferred.
- Proven organizational skills with attention to detail and accuracy.
- Strong written and verbal communication skills in English and Arabic.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
- Interest in humanitarian aid, refugee rights, and international development issues.
