PROVISION OF AN E-BOARD SYSTEM

INTRODUCTION
Micro-Enterprises Support Programme Trust (MESPT) is a Kenyan development organization established in 2002. MESPT’s overall objective is to promote economic growth, employment creation and poverty alleviation through enterprise development. This is achieved predominantly through support to the development of agricultural value chains whilst embracing and promoting the green growth and climate change agenda. Through its vision of building a more Prosperous Society, MESPT facilitates increased commercialization, decent employment and green transformation through targeted interventions in the selected value chains. The Trust is a multi-donor entity jointly founded by the Government of Kenya and the European Union who later relinquished their position to the Royal Danish Embassy in Kenya, Ministry of Foreign Affairs of Denmark (DANIDA).
- PURPOSE
The purpose of this Request for Proposal (RFP) is to solicit proposals from vendors for an E-Board System. This product will help us with the digitization process of our board processes.
- OBJECTIVE
The objective is to implement an E-Board System solution that will help us in the digitization of our board processes.
Technical Specifications and Requirements

- Create board meeting within the system

- Board evaluation
- Video conferencing and collaboration
- Central document repository
- Approval processes
- EXPECTED DELIVERABLES
- Inception report for the assignment outlining approach/methodology.
- E-Board System Implemented according to MESPT requirements and Use Cases
- Training of MESPT ICT team
- Licenses if any
- Annual support after six months of complimentary support
- Assignment Timelines
The consultant should finish all the above within 3 months.

- Criteria Score
The evaluation of each response to this RFP will be based on its demonstrated competence, compliance, format, and organization. The purpose of this RFP is to identify those suppliers that have the interest and capability to supply MESPT with an E-board solution that meets the requirements specified in section II under Technical Specifications and Requirements**.**
- Qualification and Competencies
The firms experience with provision of E-Board solutions (Minimum of 5 years).
The consultant must demonstrate experience in undertaking similar assignments with regards to implementation of an E-Board solution.
The Lead consultant should have;
- Certifications of the proposed solution or similar documents to indicate knowledge of the proposed solution.
- 5 years’ experience implementing the proposed solution
- The list of proposed staff by specialty. Qualifications of team members evidenced by professional certifications and CVs.
- Certifications of the proposed solution or similar documents to indicate knowledge of the proposed solution.
- 3 years’ experience implementing the proposed solution
Notice to bidders on Technical Evaluation
- All bidders should indicate reference sites on E-Board System implementation.
- All proposals shall be submitted in soft copy.
- Bidders Must meet all our requirements to be progressed to the financial evaluation.
Financial Evaluation
- The lowest evaluated bidder who meets all our technical evaluation will be recommended for award
- Detailed Cost Schedules**:** Provide detailed, itemized unit and total costs for each component and service proposed.
