The Office Assistant is based at Feed the Future Ethiopia Value Chain Activity (FTFEVCA) sub regional offfice for Mizan. Reporting to the Senior Agri Business Coordinator. The Office Assistant will facilitate services such as photocopying, binding, scanning, faxing, inter-office delivery of documents, preparation of official letters and filing. She/He will also provide administrative assistance to the office in areas such as basic review of documentation, maintaining of supplies inventory, as well as assistance to technical staff in various tasks, such as data entry, workshop logistics support.

Major Duties and Responsibilities

  • Welcoming visitors and answering queries
    ·   Handles all telephone calls and inform the concerned person
    ·  Communicating with the guests and link them with the concerned person
    ·   Ensures that all cleaning materials are properly kept and supplies are economically utilized; ensures that supplies inventory is efficiently maintained.
    ·    Arranges appointments and schedules visitors to the concerned staff as required
    ·    Make sure the front desk is always clean and attractive.
    ·    Most be always available at the front desk in case of absence must assign other employee and make sure that the front desk has someone in charge.
  • Prepares tea and coffee for the staff, guests and training participants
    ·     Fill Purchase Request (PR) for FINTRAC staff upon request.
    ·    Maintains phone directory list of all staff employees, regional offices and partner organizations (including mobile numbers).
    ·     Performs all other similar duties as assigned.
    ·     Organizing the office lay out and maintaining supplies of stationary and equipment.
    ·     Sorts & delivers mails/DHL, FedEx, EMS and distributes it to the responsible person/department after making them sign on register.
    ·    Keep tracks of letters and making sure that there is a soft and hard copy of the issued letter by keeping it sequentially.
    ·   Maintain office cleanliness each day and ensure custodial duties are performed in accordance with procedures and schedule. Duties include (as needed): sweeping, mopping, and waxing floors; emptying trash; cleaning surfaces, windows, mirrors; dusting and cleaning furniture; etc.
    ·      Clean and service restrooms throughout the day, as needed.
    ·     Improve office safety by identifying and reporting needed repairs within 24 hours.
    ·     Monitor and maintain building security by ensuring doors are locked after operating hours.
    ·     Performing any other duties as may be assigned

Job Requirements

  • 12 complete and more
  • 2 years of experience within NGOs, preferably supporting USAID projects;
  • Basic computer skill
  • Excellent organizational skill;
  • Speaks  Amharic, English and main local language;
  • Good team player
