Job Summary:

As an Office Maintenance Assistant, you will perform tasks related to CRS office maintenance to ensure that all workspaces are kept clean, organized, and conducive to work at all times. You will also be responsible for preparing and serving tea for staff and visitors during office hours.

In addition, you will manage office and kitchen supplies, ensuring timely and regular replenishment of stock. Using your knowledge and experience, you will support reception and general office activities while upholding the principles of stewardship, integrity, transparency, and accountability.

Roles and Key Responsibilities:

  • Clean and maintain all assigned offices, including sweeping, dusting, mopping, wiping surfaces, cleaning furniture and equipment, opening windows, and maintaining a regular cleaning schedule.
  • Ensure all bathrooms, kitchens, utensils, crockery, and cutlery are kept clean, hygienic, and fully functional, with a constant supply of toiletries, hand towels, and drinking water.
  • Prepare and serve office tea for staff and visitors in a timely manner and organize refreshments and meals for meetings and workshops as requested.
  • Monitor, record, and manage stock levels of cleaning, kitchen, and staff welfare supplies; prepare usage reports and requisitions to ensure timely replenishment and safe storage.
  • Report any damage to furniture, equipment, structural issues, or facility-related problems to the Administration Officer or supervisor.
  • Coordinate with the Administration Officer to ensure regular cleaning of office blinds and general upkeep of office facilities.
  • Ensure security and safety measures are observed, including switching security lights on and off as required, reporting security incidents, and familiarizing yourself with the location and use of fire extinguishers and the office circuit breaker.
  • Provide clerical and reception support to staff when required, subject to supervisor approval.
  • Perform any other duties assigned by the immediate supervisor or management.

Basic Qualifications and Experience

  • A minimum of Ordinary level Certificate of Education.
  • A minimum of 2 years of work experience in a similar position.
  • Demonstrate knowledge of office equipment use and maintenance.
  • Computer Literacy in MS word, MS Excel, and E-mail communication.

Knowledge, Skills and Abilities

  • Good spoken and written English communication skills.
  • Strong interpersonal skills, with the ability to work effectively with colleagues and stakeholders from diverse backgrounds.
  • Ability to apply creative and practical problem-solving skills to improve service delivery.
  • Strong organizational and multitasking abilities, with the capacity to manage multiple tasks efficiently.
  • Ability to work independently with minimal supervision while maintaining high standards of performance.

Required Languages:Excellent command of written and spoken English required knowledge of local languages from highlighted districts.
