Position Summary:
SIHA’s internship programme exposes qualified students specialized in various professional fields to the organization’s day-to-day working environment. This role is designed to provide hands-on experience in various aspects of business operations, logistics, administrative tasks, and project management. The successful candidate will have the opportunity to work in a dynamic environment and contribute to the efficiency and success of our organization. In this process, the intern will gain knowledge of the substantive and operational aspects of SIHA’s work.
After three-month assignment, the intern will have gained knowledge on key administrative and programmatic work. In addition, this internship will help the intern understand SIHA’s strategic areas and obtain the working experience in a Regional Network and Organization.
The Intern – Operations and Programme under the direct supervision of the Finance/Admin Assistant and Line management of the Ethiopia Country Coordinator will perform various operations and programme tasks ranging from logistics and administrative support, project implementation support and other assigned duties under the guidelines of the SIHA HR guide and policies.
Primary Responsibilities:
1. Logistics and Administrative Support (55%):
● Assist in coordinating and optimizing compilation of documents for visa applications, travel ticketing
● Collaborate with suppliers and regional procurement officer to ensure timely and cost-effective delivery of procurement requests, service delivery, and payment of invoices.
● Track and update shipment information, including monitoring delivery schedules for dispatches at the SIHA Ethiopia Office.
● Manage and organize office documents, files, and records.
● Assist in scheduling meetings, taking minutes, handling phone calls, and responding to emails
● Thoroughly collate paperwork and documentation compliant to SIHA procurement, finance and HR manual policies to ensure timely processing of accountabilities
2. Project Implementation Support (35%):
● Support project managers in planning, execution, and monitoring of various projects.
● Support in responding to beneficiary needs by conducting field monitoring visits
● Assist in preparing project documentation, workplans and presentations.
● Maintain effective communication with internal teams and external partners.
● Collaborate with team members to ensure smooth workflow and project coordination.
3. Other duties and Responsibilities (10%):
● Abide by all SIHA policies, manuals and regulations whilst upholding utmost professionalism and sound work ethics.
● Perform any other tasks as might be requested from time to time by an authorized SIHA official in line with SIHA guidelines and protocols
Ideal Candidate Qualifications:
● Basic numeracy skills and experience using MS Packages
● Positive attitude and willingness to learn
● Excellent personal communication skills, in written and verbal English
● A high level of self-awareness, personal energy, stamina and flexibility. Ability to work creatively, effectively and under own initiative
● Pays attention to detail
● Good interpersonal skills and ability to relate well with co-workers and other stake holders
