In Uganda, Mercy Corps has been in operating since 2006 in Karamoja specifically in Kotido, Kaabong and Moroto; in Northern Region in Gulu; West Nile in Yumbe and Central region specifically Kampala district. Mercy Corps offers technical expertise in Market Development, Gender, Peace and Conflict Management, Economic Empowerment, Food Security Monitoring, Evaluation and Learning, Agriculture and Agribusiness.
Mercy Corps has implemented and still implements multiple donor-funded projects within and outside the West Nile region with her major donors including but not limited to DANIDA (Danish Government Overseas Aid), Austrian Development Agency, Agence Française de Developpement (AFD) and Private foundations among others.
GENERAL POSITION SUMMARY:
The People & Culture Graduate Trainee will report directly to the People & Culture Assistant. S/he will work closely with Mercy Corps’ operations, finance teams, as well as program staff to provide essential support to the People & Culture Function. The People & Culture Graduate Trainee will be responsible for executing daily routine People & Culture Tasks and ensuring that these are addressed in a timely and efficient manner.

Practices the values of Mercy Corps including respecting the dignity and well-being of participants and fellow team members.
Encourages openness and communication in their team; encourages team members to submit reports if they have any concerns using reporting mechanisms e.g., Integrity Hotline and other options.
Technical Responsibilities:
- Take full ownership of processing and filing all HR personnel information and correspondence efficiently and within established timelines.
- Responsible for ensuring that all personnel files and staff documentation are always kept current and complete.
- Manage the submission and follow-up of all P&C documents with the field, ensuring smooth communication and compliance.
- Oversee the updates and reconciliation of various database trackers, including but not limited to the medical and staff lists, maintaining accuracy and consistency.
- Provide key support for insurance documentation, as required, ensuring all necessary paperwork is accurate and up to date.
- Provide ongoing support for data entry in the Human Capital Management (HCM) system, ensuring it is consistently updated with the latest information.
- Play a critical role in updating and maintaining employee records, safeguarding accuracy and confidentiality always.
- In addition, you will manage P&C data and ensure timely and accurate information is provided for P&C reports.
- Follow up and engage new hires from the point of acceptance of offer to the entry point.
- Support the Senior People & Culture Officer in ensuring the orientation has been implemented and feedback has been received.
- Responsible for provision of all relevant documentation for the payroll including but not limited to PAFs, Acting letters, new hire documents, Staff resignations etc.
- Preparing loan letters and advising staff on the loan acquisition procedure.
- Any other duties that may be assigned from time to time.

- Updated employee files with accurate information including but not limited to new hires, terminations, resignations, transfers and changes in employee status.
- Organize files and records that comply with legal requirements and Mercy Corps policies.
- Accurately complete the assigned tasks as given by the P&C team.

KNOWLEDGE AND EXPERIENCE:
- 0-1-year experience in this similar P&C support role.
- Bachelor’s degrees in human resources, Business Administration or any related discipline in people function.
- A high degree of organizational skills using computer-based tools/software with demonstrated attention to details.
- Strong communication skills including the ability to communicate frequently and effectively in both verbal and written form.
- Proven ability to conduct him/ herself professionally under pressure.
- Previous experience as a full/part time staff with Mercy Corps and demonstrated knowledge of Mercy Corps systems, procedures and program priorities is an advantage.
