About the Job

The main purpose of the Position

Supporting the drug supply management in the designated facilities under the supervision of the Mission Warehouse Manager of the Mission and according to MSF health policies and protocols, in order to contribute in the guarantee of the proper management and distribution of drugs and medical devices

Accountabilities

  • In cooperation with the Pharmacy Manager, assisting in the supervision, management and control of the medical stock in the project to avoid ruptures, losses and gross overstock of drugs and other supplies and overseeing and monitoring its storage conditions.
  • In cooperation with the Pharmacy Manager, assisting monthly with preparation and approval of order requests, ensuring they are completed in timely manner to prevent unnecessary orders in between. Following up on drug ruptures.
  • In cooperation with the Pharmacy Supervisor and other MSF team members, assisting in the supervision, management, follow up and control of medical/supply stock in the MSF office, expat houses, and MSF cars. This includes physical counting, ordering and monitoring of expired dates.
  • Assisting with the collection of consumption from facilities on at least a monthly basis and collecting data about number of patients. Cooperating with and assisting the Pharmacy Manager in all related monthly reports, and under the Pharmacy Manager’s supervision, communicating and providing medical data to relevant MSF team members
  • Improving and following up the monitoring systems in place.
  • Supporting the MoH counterparts in their responsibilities regarding monitoring of drug consumption, stock management and preparing/receiving orders.
  • Perform cleaning and minor maintenance for biomedical equipment used. Following the user manual and protocols and alert supervisor in case of malfunctioning.
  • Assisting in preparing and organizing training sessions for MSF staff.
  • Providing programs continuity during supervisor’s absence and handovers; sharing knowledge of program with incoming staff in a timely, accurate and efficient manner

MSF Section/Context-Specific Accountabilities

  • Perform accurate physical receiption of items and ensure that all data recorded in UniField is correct and consistently updated in line with OCB receptions procedures.
  • Maintain accurate stock levels through regular inventory counts, spot check as assigned by the line manager and strict FEFO/FIFO application, and proper storage conditions to prevent losses, expiries.
  • Use validated picking ticket in UniField to prepare timely, accurate orders and reduce emergency operations of the order management.
  • Participate in full, partial, and corrective inventories; identify and analyze stock discrepancies and follow up on CAPA (Correction and Preventive actions) to improve inventory accuracy.
  • Maintain reliable, up-to-date stock and movement records through systematic quantities pick and pack and shipped and reconciliation with physical stock.
  • Produce timely reports during picking or receptions for items with discrepancies or out of stock to the line manager for timely decision making.
  • Ensure consistent stock monitoring and accountability across all storage points, including cold chain and contorl drugs.
  • Record temperature and humidity levels twice daily during working hours, ensure compliance with storage standards, and immediately report any cold chain breach or abnormal readings to the line manager for prompt action.
About You
Education
  • Essential: – Diploma in Pharmacy/Pharmaceutical Technology/Pharmaceutical Sciences.
  • Essential: – Valid professional license.
Experience
  • Essential: – At least 2 Years experience in a medical distribution warehouse.
  • Essential: – Proven professional experience in supervising and training others in a team setting.
  • Desirable: Experience with MSF or other NGOs is an added advantage.
Other Requirements
  • Essential: English language skills (Speaking, Writing, Reading) work proficiency.

Médecins Sans Frontières (MSF) was founded in 1971 in France by a group of doctors and journalists in the wake of war and famine in Biafra. Their aim was to establish an independent organisation that focuses on delivering emergency medicine aid quickly, effectively and impartially.

Doctors Without Borders

Three hundred volunteers made up the organisation when it was founded: doctors, nurses and other staff, including the 13 founding doctors and journalists.

MSF was created in the belief that all people should have access to healthcare regardless of gender, race, religion, creed or political affiliation, and that people’s medical needs outweigh respect for national boundaries. MSF’s principles of action are described in our charter, which established a framework for our activities.

MSF's first missions

MSF’s first mission was to the Nicaraguan capital, Managua, in 1972, after an earthquake destroyed most of the city and killed between 10,000 and 30,000 people.

In 1974, MSF set up a relief mission to help the people of Honduras after Hurricane Fifi caused major flooding and killed thousands of people.

In 1975, MSF established its first large-scale medical programme during a refugee crisis, providing medical care for the waves of Cambodians seeking sanctuary from Pol Pot’s oppressive rule.

In these first missions, the weaknesses of MSF as a new humanitarian organisation became readily apparent: preparation was lacking, doctors were left unsupported and supply chains were tangled.
