Mission and objectives

Under the guidance and supervision of the Procurement & Administrative Associate, the procurement and Administrative Assistant provides support to office operations performing a variety of standard and procurement administrative processes ensuring high quality and accuracy of work. He/She promotes a client, quality and results-oriented approach and works in close collaboration with the Operations and Programme staff in the CO and other UN agencies staff to exchange information and ensure consistent service delivery.

Context

Under the guidance and supervision of the Procurement & Administrative Associate, the procurement and Administrative Assistant provides support to office operations performing a variety of standard and procurement administrative processes ensuring high quality and accuracy of work. He/She promotes a client, quality and results-oriented approach and works in close collaboration with the Operations and Programme staff in the CO and other UN agencies staff to exchange information and ensure consistent service delivery.

Task description

Summary of Key Functions: §Implementation of operational strategies in the framework of UNDP activities in support of UN agencies.

  • Support to procurement, administrative and logistical services in the framework of UNDP activities in support of UN agencies.
  • Support to knowledge building and knowledge sharing

The national UN Volunteer will undertake the following tasks: 1. Ensures implementation of operational strategies, focusing on achievement of the following results: § Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies.

  • Provision of inputs to the CO administrative business processes mapping and implementation of the internal standard operating procedures (SOPs).
  • Provision of inputs to preparation of administrative team results-oriented workplans.
  1. Ensures effective procurement, administrative and logistical support in the framework of UNDP activities in support of UN agencies,

focusing on achievement of the following results:

  • Support to organization of procurement processes including preparation of RFQs, ITBs or RFPs documents, receipt of quotations, bids or proposals, their preliminary evaluation. Preparation of POs.
  • Administrative support to conferences, workshops, retreats.
  • Maintenance of the filing system ensuring safekeeping of confidential materials.
  • Extraction of data from various sources.
  • Research and retrieval of statistical data from internal and external sources; preparation of statistical charts, tables and reports.
  • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to head of unit.
  • Assistance in the preparation of budget, provision of information for audit.
  1. Support knowledge building and knowledge sharing in the CO, focusing on achievement of the following results:
  • Participation in the training for the operations/projects staff on procurement and administration.
  • Sound contributions to knowledge networks and communities of practice.

Results/Expected Output:

  • A final statement of achievements towards volunteerism for development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed.

Required experience

3 years of experience in administration or programme support service.

Experience in the usage of computers and office software packages (MS Word, Excel, etc.).

Experience in handling of web-based management systems.

Living conditions and remarks

  • The assignment is for 12 months.
  • A monthly volunteer living allowance, intended to cover housing, basic needs, and utility costs (water, electricity, etc.), equivalent to $1,302.58, will be provided.
  • UNV will be enrolled to medical insurance, disability insurance, and life insurance.
  • A relocation allowance will be paid to UNV (if applicable) .

UNDP role in UN coordination

UN coordination is a key priority for UNDP and a commitment in our Strategic Plan. As the designated representative of the Secretary-General, the Resident Coordinator is the leader of the UN Country Team (UNCT) and plays a central role in coordinating the UN’s development operations and ensuring alignment with national priorities. UNDP provides the lion’s share of the resources needed to maintain the RC system in over 130 countries. The remainder of the RCS funding comes from a cost-sharing arrangement between all participating agencies.

UNDP also administers the UN Capital Development Fund, which helps developing countries grow their economies by supplementing existing sources of capital assistance by means of grants and loans; and UN Volunteers, which fields over 6,000 volunteers from 160 countries in support of peace and development through volunteerism worldwide.
