HIJRA in partnership with UNICEF is implementing a project to strengthen child protection in Isingiro District. HIJRA is therefore expanding our program implementing team is now seeking a qualified person willing to offer Humanitarian services in the position of Procurement Assistant to be based in Nakivale/Oruchinga – Isingiro District.

Job Summary:

The Procurement Assistant performs a wide range of routine administrative and control functions in support of HIJRA’s procurement services. He/ she contributes to timely and efficient procurement operations.

Reporting Relationships:

The post holder will be responsible to the Senior Procurement and Logistics Officer.

Duties:

The Procurement Assistant will be responsible for the following duties:

  1. Manage procurements of all goods and services
  2. Raise, place and follow up purchase orders with suppliers in accordance to HIJRA Guidelines
  3. Liaise with the user departments in the development and management of contracts
  4. Prepare and issue approved contract documents
  5. Coordinate the process of prequalification of suppliers
  6. Organize the procurement committee meetings and serve as the secretary of the committee
  7. Prepare the tender documents and coordinate the tendering process in accordance to HIJRA Procurement Guidelines and procedures
  8. Accord prompt and courteous reception to all internal and external clients who need information related to procurement
  9. Maintain and archive records of the procurement process
  10. Any other duties as may be assigned by the Line Manager

Competencies, Qualifications, Skills and Experience:

· Applicant should be a holder of a Degree in Procurement and Logistics Management from a recognized University. A certificate in professional supplies, logistics and procurement is an added advantage.

· Applicant should have 2 years’ experience in Procurement and Logistics Functions from a reputable organization

· Management and accounting for INGO.

· Demonstrated high sense of personal integrity.

· Experience in working with donors.

· Experience working with accounting software and well versed with other computer applications.
