Job Summary

Key Responsibilities

  • Assist in planning, scheduling, and coordinating project meetings, trainings, and field activities.
  • Support development and tracking of work plans, activity calendars, and deliverables.
  • Monitor progress of activity implementation and flag delays or risks to supervisors.
  • Coordinate with technical, monitoring, finance, and administrative teams to ensure timely implementation of activities.
  • Prepare meeting materials, agendas, minutes, and follow-up action points.
  • Maintain documentation and filing systems for project correspondence, activity reports, and key program documents.
  • Support travel/ venue logistics, procurement requests, and participant coordination for trainings/meetings.
  • Manage office supplies, equipment requests, and administrative transactions related to project operations.
  • Assist in collating and synthesizing information for donor reports, monthly updates, and internal briefs.
  • Maintain trackers for activity implementation, budgets, and deliverables.
  • Support development, processing and formatting of presentations, memos.
  • Communicate with implementing partners, government stakeholders, and facility contacts to support activity coordination.
  • Follow up on action items and documentation needed from partners.
  • Assist with onsite and virtual event coordination and stakeholder engagement.
  • Support adherence to donor and organizational standards for procurement, travel, branding, and reporting.
  • Assist in collecting data and documentation for audits, compliance reviews, and M&E processes.
  • Maintain trackers and timelines to ensure timely submission of compliance documentation.

Required Qualifications and Experience

  • Bachelor’s degree in public health, Social Sciences, Business Administration, or related field.
  • 1–3 years of experience in project administration or program support (public health preferred).
  • Demonstrated experience with meeting coordination, documentation, and logistics.
  • Proficiency in MS Office (Word, Excel, PowerPoint), email tools, and administrative systems.
  • Strong organizational, multitasking, and communication skills.
