REACH was born in 2010 as a joint initiative of IMPACT Initiatives and ACTED, and the United Nations Institute for Training and Research (UNITAR) Operational Satellite Applications Programme (UNOSAT). REACH’s purpose is to promote and facilitate the development of information products that enhance the humanitarian community’s decision making and planning capacity for emergency, reconstruction and development contexts, supporting and working within the framework of the humanitarian reform process. REACH facilitates information management for aid actors through three complementary services: (a) need and situation assessments facilitated by REACH teams; (b) situation analysis using satellite imagery; (c) provision of related database and (web)-mapping facilities and expertise.

COUNTRY PROFILE

In Kenya, ACTED has been operational since 2007, addressing the humanitarian and development needs of communities affected by natural disasters, displacement, and limited access to essential services. The Nairobi office serves as a hub for ACTED’s regional operations, including hosting and supporting the REACH Sudan mission. As part of the global REACH initiative, REACH Sudan collects, analyses, disseminates and reports on high‑quality data — including site mapping, population movement monitoring, multi‑sector needs assessments and vulnerability analysis. By transforming complex field data into actionable information, REACH Sudan enables humanitarian actors to make timely, evidence-based decisions and design targeted interventions across sectors.

ROLES AND RESPONSIBILITIES

Under the direct line management of the Country Representative, the Project Assistant will provide dedicated administrative and coordination support to the REACH Sudan mission, from Nairobi. The Administrative Assistant will work in close collaboration with ACTED’s FLAT (Finance, Logistics, HR/Admin) departments to support the REACH Sudan team in their transition from Kampala to Nairobi.

Key responsibilities include:

  • Support in setting up systems for comprehensive staff records, project trackers and documentation, together with ACTED HR
  • Help organize travel, accommodation, and logistical arrangements, anticipating operational needs.
  • Coordinate onboarding, orientation, and administrative guidance for new staff.
  • Support with the management of workspace allocation, office resources, and procurement.
  • Serve as the primary interface between REACH Sudan and ACTED Kenya FLAT departments, ensuring timely processing of administrative, HR, and logistical requests.
  • Identify and implement workflow improvements, standardize procedures, and maintain knowledge management systems.
  • Oversee administrative processes for REACH Sudan, document management, and compliance with organizational standards.
  • Undertake additional administrative, coordination, or strategic support tasks as required.

REQUIRED QUALIFICATIONS AND EXPERIENCE

  • Diploma or Bachelor’s degree in Business Administration or related field.
  • At least 1 year of experience in administrative support, logistics or coordination roles (INGO experience an asset).
  • Strong organizational skills, attention to detail and ability to manage multiple tasks simultaneously.
  • Excellent communication skills in English.
  • Proficiency in Microsoft Office software (e.g. Word, Excel and Outlook), as well as Adobe and others.
  • Strong interpersonal skills and ability to work in a multicultural team.
