We seek to recruit a Receptionist who will handle incoming and outgoing mail including courier services, prepare mail labels for outgoing mail, log in and stamp incoming and outgoing mail, provide support to visitors/ consultants and other PATH staff (both local and international) who conduct trainings / workshops while in the project. manage booking of conference rooms for meetings to avoid collision or double bookings, support with document preparation such as typing, photocopying, scanning, faxing etc. The Receptionist will be based in Kakamega, Kenya.

Specific Duties and Responsibilities:

  • Report and follow up on faulty telephone lines.
  • Monitor staff whereabouts share the information as appropriate.
  • Answer telephones, take messages and receive / welcome visitors.
  • Make follow ups with Finance Office & program staff on pending supplier payments.
  • Support with document preparation such as typing, photocopying, scanning, faxing etc.
  • Manage booking of conference rooms for meetings to avoid collision or double bookings.
  • Arrange travel and hotel bookings for all project staff, including consultants and partners.
  • Verify invoices received from travel agent, stationery supplier, taxi companies and attach LPOs where necessary.
  • Ensure that staff contact list, the contact data base and the PATH-Partner and supplier is updated promptly and shared with staff.
  • Provide support to visitors/ consultants and other PATH staff (both local and international) who conduct trainings / workshops while in the project.
  • Handle incoming and outgoing mail including courier services. Prepare mail labels for outgoing mail, log in and stamp incoming and outgoing mail.

Required Experience

  • Good personal skills.
  • Fluency in written and spoken English.
  • Proficient in MS office/computer skills.
  • Minimum Diploma holder in Business Management or related course.
  • 2 Years’ Experience in a similar position preferably in an NGO set up.

You must currently have legal authorization to work in Kenya
