To make sure the Nutrition & Therapeutic commodities are handled properly, safe storage condition and ensuring the transaction using bin cards, stock cards and inventory tools in close coordination with other TSFP field teams and a line manager
Major Roles and Responsibilities:
- Ensure proper handling of warehouse goods and properties with consistent management and use goods receiving notes, good issue and bin-card
- Handles Receiving and issue of commodities and other materials from store
- Ensure proper reconciliation of physical count with bin cards and stock cards and report the results to the commodity accountant/line manager regularly.
- Receive TSFP food commodities from central warehouses or transporters.
- Verify: Correct quantity (bags, cartons), Condition of commodities, Batch numbers / expiry dates, Shipping documents (GRN, Waybill, Dispatch Note), Immediately report any shortages, damages, or discrepancies, Ensure proper documentation during handover (sign, stamps, dates), Ensure clean, well‑ventilated, and pest‑free storage conditions.
- Stack commodities on: Pallets, Dunnage, Fire‑safe arrangements
- Follow FIFO (First In First Out) and FEFO (First Expiry First Out).
- Maintain: Stacking height limits, Aisle spacing, Proper labeling by batch and commodity type
- Conduct periodic fumigation and rodent control as needed.
- Prepare commodities for TSFP distribution days at: Health Posts, Outreach sites, FDPs
- Pre‑position supplies in coordination with TSFP Officer.
- Work with HEWs, TSFP Facilitators, and distribution teams to ensure: Correct ration size, Proper issuance to verified beneficiaries, Prevention of diversion and crowd issues
- Maintain accurate, up‑to‑date store records: Stock Cards (Ledger), Bin Card, Loss/Damage Reports, Monthly Stock Reports, Waybill Receipts and Dispatch Records, Commodity Movement Summary Sheets, Daily Stock Balance Sheets
- Ensure all documents are signed, stamped, and filed.
- Monitor daily stock balance and physical counts.
- Conduct weekly and monthly physical inventory.
- Report: Overages, Shortages, Losses, Damages, Pest issues
- Ensure full compliance with WFP commodity handling standards.
- Support audit teams, monitoring visits, and verification exercises.
- Monitor commodity condition (spoilage, moisture, expiry).
- Ensure proper warehouse cleanliness and safety: Fire extinguishers, Lockable doors, No smoking, Clear emergency exits
- Report any suspicious activities or security risks.
- Protect commodities from theft, diversion, and contamination.
- Work closely with: TSFP Officers, Nutrition Officers, Logistics teams, HEWs, Health Center/Woreda staff
- Communicate stock levels, replenishment needs, and distribution plans.
- Ensure timely availability of commodities at service delivery points.
- Diploma/Degree in: Logistics, Supply Chain, Management, Accounting Or related fields, (Grade 10/12 complete + experience acceptable for field-level interventions.)
- 1–2 years of experience in warehouse/store management, preferably in:
- WFP programs
- CMAM/TSFP interventions
- Humanitarian organizations
- Experience with perishable/specialized food handling is an asset.
- Strong stock management and documentation skills.
- Ability to read and complete waybills, stock cards, and ledgers.
- Basic numeracy and Excel/data entry skills.
- Good physical strength and ability to handle lifting.
- Honest, attentive to detail, and accountable.
- Knowledge of warehouse safety and commodity handling procedures.
- Ability to work in remote and challenging environments.
