SCOPE OF WORK/ JOB PURPOSE:

The Supply Chain Assistant – Store Keeper report to the Asset, Warehouse and Transport Officer and Supply Chain manager. And has the responsibility to ensure the overall care and maintenance of warehouse, to receive, store, manage inventories and assets in warehouse and to keep the records up to date maintaining audit-compliant documents, report inventories and asset transactions in accordance with IRC warehouse management policy and procedures.

RESPONSIBILITIES:

Proper Warehouse and Material Management:

  • Understand, implement and / or maintain standard IRC inventory management policies and procedures
  • Receive materials with cross reference of relevant source documents (purchase orders, amendments, specifications, design), inspecting their quality in person and by program persons, quantity, expiry date, defects and the like.
  • Document Inspection sheets done by program persons.
  • Ensure that BIN cards are placed to each material separately, inventory data is properly and accurately recorded on the stock card, properly and orderly keeping of stock cards, materials are properly stacked, warehouse registry is used, well ventilated, has sufficient light, warehouse corridors are free of obstacles, the warehouses are regularly cleaned and tidy, makes convenient internal arrangements for physical counts, and availability of warehouse equipment.
  • Record all warehouse items (inventories, lubricants, spare parts, assets, furniture and equipment and their transactions.
  • Maintain the warehouse activity book recording all outgoing and incoming receipts and activities.
  • Report assets released at Shire to Asset, Warehouse and Transport Officer for tracking updates purpose.
  • Work with Asset, Warehouse and Transport Officer in reconciling of the warehouse register in the asset tracking sheet and equipment issue form.
  • Timely send materials to camps and following the returning of sent waybills.
  • Proper documentation of waybills, deliveries and store releases in order.
  • Sending materials to camps with full information for tracking.
  • Collecting materials in purchase order status from suppliers as per or before the date described on it.
  •  Following the delay of material delivery, report the challenge faces to supervisor and the procurement staff when things are impossible.
  • Arranges properly shelving materials at store & always being ready for sufficient space of material storage.
  • Releases approved materials (in FIFO) with fulfilling all IRC documents, checks if the materials reach to beneficiaries and files the documents properly.
  • Update programs and operation department the delivered materials to store in order to use them on time, reports the old grant materials in store to all sectors to avoid old grant accumulation & repeat purchase of similar items.
  • Ready materials for shipment to camps as per the nature of the items.
  • Ensure the safely loading and unloading of items in IRC warehouse and from suppliers’ warehouse in cost and time effectiveness and efficiency.
  • Reporting the ware house transaction to program persons and supervisors accurately on bimonthly bases.
  • Advises supervisor of potential inventory shortage in warehouse with a focus to determinant items.
  • Ensure ahead preparation and delegation of staff before leaving for annual leave for the smooth functioning of supply chain activities.
  • Issue assets to IRC staff after sustaining the necessary documents and the authorized person’s approval.
  • Insure the safety of inventories and assets in storage.
  • Ensured of Material in and out from IRC compound is in the knowledge of supply chain
  • Managing the safety & Security of IRC compound & properties.
  • Perform additional tasks given by supervisor.

Mandatory reports to Warehouse, Asset and Transport officer and SC manager.

  • Report asset movements from warehouse to camps and incoming of assets from Addis before the dead lines with accuracy.
  • Readiness and timely reports for Yearend Inventory counts and quarterly reports.
  • Reporting the ware house transaction to operation department, supervisor and supply chain manager on accurately on weekly bases.
  • Reporting old grant approaching materials in store to belonging sectors to avoid old grant accumulation & repeat purchase of similar items before the expiry of the grant.

Job Requirements

Educational and work experience requirements:

  • BA/Dip in Relevant education background in logistics and materials management, purchasing management, Accounting, Marketing, and Management or related fields
  • 3 years of relevant work experience for diploma holders
  • 1 year of relevant work experience for a first degree.
  • NGO experience is a plus.

SKILLS REQUIRED

  • Computer literate especially word and excel.
  • Good knowledge of spoken and written English language.
  • Good communication and interpersonal skills.

The IRC is currently implementing programs in Health, Protection, WASH, Nutrition, Food Security, and Women’s Protection and Empowerment (WPE) in Adamawa and Borno States in North-Eastern Nigeria.

The IRC is dedicated to making women and adolescent girls healthier from the earliest phase of acute crises (a target group most vulnerable during crisis) and implements evidence-based reproductive health interventions in line with the SPHERE-standard Minimum Initial Service Package for Reproductive Health in Crises (MISP). The goal is to ensure that the IRC’s health responses in emergencies include the core package of Reproductive Health (RH) services in its interventions.

The IRC’s Reproductive Health (RH) program is currently implementing (MISP) for RH in 4 health care centers in MMC and Jere LGAs and 1 IDP camp clinic. In addition the program is starting up an emergency mobile programming outside of these areas of Maiduguri in coordination with the WPE team. The focus of this program is to provide quality comprehensive RH and WPE services to conflict-affected women and girls in a timely manner. In addition to the mobile program, the WPE and RH joint mobile teams will be in charge of rapid assessments and rapid response. The mobile teams will be focused in the newly opened LGAs and emergency areas previously inaccessible due to conflict and insecurity. These teams will provide life-saving services to populations outside of Maiduguri, who have not had access to services in approximately 3 years.
