AdvocAid works with women and girls caught up in Sierra Leone’s often unjust legal system. We are the only organization in West Africa providing access to justice and holistic support to women and girls in conflict with the law, including free legal aid and representation, social welfare support, education and empowerment, and a moving forward programme for women post-prison.

AdvocAid was founded in 2006. Today we work in several towns across Sierra Leone, supporting women and girls at police stations, courts and correctional centres. As well as providing short term interventions, we deliver advocacy and law reform projects focused on addressing wider issues impacting women and girls in the criminal justice system.

ABOUT THE ROLES:

AdvocAid is at an exciting time in its development, with significant new funding, projects and partnerships. This includes a new multi-year project tackling SGBV funded by the European Union, existing projects tackling petty offences and police accountability funded by OSIWA, and a core grant from the Mott Foundation for 2019-2021.

We are recruiting for 2 Project Coordinators to lead the effective implementation of AdvocAid’s portfolio of donor-funded projects.

Each Project Coordinator will plan and coordinate project implementation between AdvocAid and our partner organisations. They will also be responsible for planning and ensuring implementation of AdvocAid activities, working effectively with teams across Freetown, Kenema and Makeni.

Specific Roles and Responsibilities:

Project planning and implementation:

The Project Coordinator will:

● Plan and manage the set-up of complex projects;

● Be responsible for overall implementation to time, to budget and to high-standards;

● Create and manage effective structures for project planning and implementation between AdvocAid and partner organisations;

● Plan and support implementation of AdvocAid project activities, alongside key AdvocAid staff. These activities may include legal education through mass media and outreach; legal aid and legal representation for women and girls in conflict with the law; social welfare support for women and girls in conflict with the law; monitoring and training of police stations; research, advocacy and engagement with stakeholders for institutional and policy reform;

● Regularly liaise with partner organisation project leads to ensure partner activities are implemented effectively and in coordination.

Partner relationships:

The Project Coordinator will:

● Develop and maintain effective relationships with key staff from project partners;

● Organise and chair the monthly meetings with project partners;

● Ensure relationships with key stakeholders are maintained, in consultation with AdvocAid staff and project partners. These relationships include: target groups of women and girls; community leaders and influencers; city and district councils; the Sierra Leone Police; the Legal Aid Board; the Judiciary, including Magistrates, Judges, the Director of Public Prosecutions, and the Chief Justice; the Ministry of Social Welfare, Gender and Children’s Affairs; other civil society organisations; and the media;

● Proactively develop and maintain new strategic partnerships with relevant organisations and networks.

Monitoring & Evaluation:

The Project Coordinator will:

● Ensure timely and reliable data collection for project logframe indicators, project reporting and project evaluations;

● Review data collection plans and tools, in consultation with AdvocAid’s Monitoring, Evaluation and Learning (MEAL) Officer and partner M&E staff;

● Conduct monitoring visits three times a year to Makeni and Kenema, with AdvocAid’s MEAL Officer and project partner staff.

Communications:

The Project Coordinator will:

● Develop a visibility strategy for the project, in consultation with key AdvocAid staff and project partners, and ensure the strategy is understood and adhered to;

● Ensure project communication and learning products are designed and disseminated by AdvocAid’s Development & Communications Associate including, for example, annual newsletters, blogs, case studies and social media content;

Project Reporting:

The Project Coordinator will:

● Prepare quarterly narrative reports detailing project activity to date across AdvocAid and project partners, as well as prepare and submit all required donor narrative reports and updates;

● Report progress against the project logframe in these narrative reports, working with AdvocAid’s MEAL Officer and partner M&E staff.

Finance:

The Project Coordinator will:

● Ensure partner financial reports are submitted on time and in line with donor requirements;

● Review project spend and prepare financial forecasts, in consultation with AdvocAid’s Finance Officer and Executive Director;

● Work with AdvocAid’s Finance Officer to prepare and submit financial reports to the donor, in consultation with AdvocAid’s Executive Director.

Policies and procedures:

The Project Coordinator will:

● Be responsible for ensuring project implementation adheres to donor requirements, policies, and procedures;

● Ensure key staff from AdvocAid and project partners understand and adhere to these donor requirements, policies, and procedures;

● Ensure project implementation is in line with AdvocAid policies and procedures including but not limited to the following AdvocAid documents: Safeguarding Policy; HR Manual; & Finance Manual.

Operations and Strategy:

The Project Coordinator will:

● Develop a project risk analysis and contingency plan, as required by the donor;

● Develop a project sustainability strategy, as required by the donor;

● Resolve any operational or strategic issue affecting project quality or implementation, in consultation with AdvocAid’s Executive Director.

AdvocAid’s Commitment to Safeguarding: AdvocAid condemns any abusive or exploitative behaviour and is committed to the protection of the women and children we work with. This commitment is reflected in the recruitment and contracting process. Anyone working with or on behalf of AdvocAid must formally agree to adhere to the Safeguarding policy.
