Job Purpose

Reporting to the Programme Director (PD), the Grants and Communications Coordinator will be central to ensuring coordination and quality of grants management and new business development for GOAL Sudan. The incumbent will directly oversee grant management processes for GOAL Sudan and be highly engaged with business development strategy. The position is based The Senior Grants Coordinator will be part of the GOAL Sudan programme leadership team, working closely and in coordination with the PD, CD, Senior Management Team, Program Coordinators, Area Coordinators, MEAL team, and finance team, among others.

Main Areas of Responsibility

Program and New Business Development

  • In coordination with the PD, oversee and lead the development of concept notes and proposals, to include programme design meetings, ensuring quality and alignment with internal donor requirements and compliance, and full details and completeness of proposals submitted
  • Coordinate proposal development process, from review of solicitation, development timeline to final submission, gathering input from Programme Coordinators (PCs), MEAL team, Sudan Field staff, Programs Director, Partnership Coordinator, Systems, Finance, Technical Advisors, and ensuring timely and proper review at the HQ level
  • Support facilitation of program design meetings to ensure high quality design processes
  • Together with the PD and working with HQ FBD team, contribute to development and implementation of a comprehensive and coherent business development strategy, funding pipeline and projections, and help prioritize approaches to donors for GOAL Sudan
  • Work closely with PD and CD to engage in regular and strategic communication with donors, including meetings with existing donors, email communication and updates, and engagement with potential new donors
  • Proactively collaborate with the MEAL and Safeguarding staff to ensure relevant data and factors are considered in program design and strategy, notably gender and safeguarding considerations
  • Proposal writing: Drafting non-technical sections and reviewing technical and other inputs, for completeness, coherence, conciseness, compliance with donor rules & guidelines
  • Coordinate proposal processes to follow internal GOAL process, including use of GOAL’s PRC template and PRC review process
  • Work closely with Finance and Program departments coordinating the development of proposal budgets and conduct review of proposal budgets for donor responsiveness and matching technical narrative.
  • Act as focal point with other NGOs or other actors regarding active and potential Consortia

Grants Management

  • Ensure efficient, uniform and effective systems in place and utilized for grant management cycle, including reporting, implementation monitoring and tracking, donor communications, grants documentation filing, information management, and management meetings.
  • Ensure the availability of an up-to-date grants management and reporting calendar and share and coordinate ad-hoc donor and HQ requests with the relevant staff promptly.
  • Organize and facilitate Grant Opening and Closing Meetings, as well as regular grants management / review meetings, which include representation from each department (finance, HR, programs, and systems) and ensure proper follow up of issues raised. Ensure these follow grant management guidelines from GOAL HQ
  • Coordinate and review monthly sector reporting and other regular or ad-hoc reporting templates, and identify improvements to reporting system
  • Lead drafting donor reports, based on sector reports, activity reports, MEAL data tracking (SCORE), and other information and reporting received from field, including follow-up directly with field staff for additional information needed
  • Support monthly Budget Management Team (BMT) processes
  • Ensure sound management of reporting requirements, including from partners (and in coordination with the Partnership Coordinator), ensuring timely and quality submission to donors.
  • Support Compliance Department with donor communications during donor agreement review periods, and support coordination of their review with relevant GOAL Sudan team and with relevant HQ staff
  • Support external reporting and/or procedures as needed, such as for clusters, HPC cycle, reports to authorities, technical agreements, and others

Communications

  • Work with GOAL HQ Communications team to support the Sudan team to identify and share communication content, to showcase GOAL’s work and meet donor requirements
  • Ensure ad hoc communication requests from CD, donors and/or HQ are developed (programme briefs and summaries, grant progress updates) by program and grants staff as appropriate.
  • Support and advise the MEAL and Programme teams, ensure that all donor visibility, branding and marking plans are developed and implemented as required.
  • Ensure drafting and routine updates on GOAL Sudan program overview information sheets for use in external stakeholder advocacy, GOAL Global website and new business development efforts.
  • Collaborate development of success stories for reporting and lessons learned to inform project design

Lead, Mentor, and build capacity of staff on grants management

  • Identify capacity strengthening needs among GOAL Sudan programme and programme quality team. Develop routine training package for GOAL staff and partners on Reporting and Proposal writing skills strengthening and ensure the delivery of training.
  • Together with PD, identify personal professional development capacity gaps and address through training and other knowledge building resources.

Skills & Qualifications

  • Demonstrable experience working in project and/or grants management and proposal/business development/design in a humanitarian context with an INGO or international organisation
  • Prior knowledge of donor regulations (BHA, ECHO, FCDO, UN)
  • Prior experience designing and developing new business development and funding strategies
  • Proven track record of successful proposal and concept note development from development, donor submission and award for range of donors
  • Excellent inter-personal, cultural and relationship-building skills and the ability to effectively represent GOAL with donors and other external stakeholders
  • Proven ability to think strategically and take initiative
  • Strong writing and editing skills with close attention to detail
  • Strong capacity to mentor and build staff capacity
  • Excellent planning and organizational skills, with the ability to appropriately managed and delegate work
  • Excellent analytical and presentation skills, including ability to summarize effectively
  • Superior oral and written communication skills, with ability to express ideas and concepts clearly and persuasively with senior internal and external stakeholders
  • Proven ability to work well in teams and promote teamwork, thrive in a multi-cultural environment, be flexible and handle pressure with professional grace
  • Arabic language skills are desirable
