Overview of position

  • Under the overall guidance of the Procurement & Logistics Officer & under the direct supervision of the Fleet Manager, the selected candidate will be responsible for maintaining our clients vehicles, trucks in a safe manner as well as assisting in the duty for the overall management & oversight of all fleet management activities.
  • The Fleet Mechanic Assistant is responsible for performing routine maintenance, servicing & repairing of all vehicles, trucks & generators that belong to our client as well as coordinate the fleet operations in accordance to the procedures, normative guidelines & business rules set by Ithem. The Fleet Mechanic Assistant must be able to complete all fleet maintenance processes & ensure that assets meet our clients specifications always, the Fleet & Mechanic Assistant is responsible to meet the following as mentoned in this TOR.

Role objectives

Be responsible for maintaining & updating the below tasks:

  • The vehicles / trucks maintenance forms & the log sheets (in case of service & repair).
  • The vehicles / trucks fuel records.
  • The vehicles / trucks logbook.
  • The drivers’ attendance sheets.
  • The drivers’ operating roster.
  • The spare parts consumption records & shipments coming from the vendors.

Specific responsibilities include but are not limited to:

  • Following up the Driver’s attendance & monitoring the attendance sheets, monitor the contract duration for each Driver, confirm the monthly invoices are correct & monitor the Drivers’ behaviour & take disciplinary measures when required.
  • Be responsible for organizing & coordinating the preparation & the transfer of vehicles / trucks from point to point.
  • Provide assistance to logistics & procurement department concerning the purchase & the transportation of fuel.
  • Monitoring & controlling the fuel consumptions rate as well as help the logistics & procurement department concerning the purchase of spare parts & be responsible for the stocking & the controlling of the spare parts consumption.
  • Provide timely data entry of the information submitted by the Fleet Manager, Logistics & Procurement Officers & Operations Officers into the appropriate data sheets as well as monitor, review & validate the data provided while entering in the log sheets (i.e. identify inconsistent data, errors, entries lacking clarity, etc.) & check accuracy of information before processing data into the system.
  • Maintain confidentiality of all data received & input to the systems, database update & management, archiving system update & management.
  • Inspects & Drives repaired vehicles to verify repairs, raises vehicles, using hydraulic jack or hoist, to gain access to mechanical units bolted to underside of vehicle.
  • Removes unit, such as engine, transmission or differential, using wrenches, portable air hoist & transmission jack, disassembles units & inspects parts for wear, using micrometres, callipers & thickness of gauges.
  • Repairs or replaces parts, such as pistons, rods, gears, valves & bearings using mechanics hand tools, overhauls or replaces carburettors, blowers, distributors, starters & alternators.
  • Rewires ignition system, lights & instrument panels.
  • Relines & adjusts brakes, align front end, repairs or replaces shock absorbers & solders minor leaks in radiator, mends damaged body & fenders by hammering out or filling in dents & welding broken parts.
  • Replaces, adjust headlights, installs & repairs accessories, such as heaters, mirrors & windshield wipers, makes minor repairs to vehicles, such as replacing spark plugs, batteries, light bulbs & connecting loose wires.
  • Troubleshoots air systems & electrical, Maintains work area in a clean & organized manner.
  • Perform such other duties as may be assigned.
