Job Title: Grants Acquisition and Management Coordinator

Reporting to: Associate Director – Resource Acquisition and Management

Grade Level: 16

Work Location: National Office – Nairobi

Purpose of Position

To lead donor engagement, intelligent research on donor strategies, sectoral focus and forecasts, prepositioning for solicited and unsolicited opportunities and generate set annual grant income for World Vision Kenya. The incumbent shall contribute strategically to development of Grant Acquisition and Donor Retention Strategies for World Vision Kenya from the assigned Foundations, bilateral, and multilateral donors.

Major Responsibilities

Growth of Grant Income as per Resource Acquisition and Management (RAM) Business Process as a result of strengthening GAM business process (50 %)

  • Actively engaged portfolio of Bilateral, Multilateral donors, private and corporate Foundations
  • Raised Grants as per WVK set Targets
  • Identified donor priorities and intelligence on upcoming opportunities; search for information that will facilitate prepositioning and establishment of partnership for opportunities
  • Communication on funding opportunities to relevant stakeholders; Technical, Specialists and Grant Finance.
  • Coordinated procedure for managing new opportunities including grants synopsis, go/no go decision and grant risk matrix as per WVK and Global Office requirements.
  • Coordinated concepts and proposal development process.
  • Conducted quarterly analysis on the success rate of all applications to specific donors assigned.
  • Coordinated WVK GAM tracking metrics and ensure fundraising data base is updated to track achievement of targets;
  • Coordinated contractual processes with partners, donors, SOs or other stakeholders;
  • Maintained up to date WVK Capacity Statements as per donor interests.
  • Clear understanding of donor expectations regarding grants developed

Expected end results

  • Increased number of successful proposal fund
  • Increased number of high quality proposal and concept noted developed
  • Increased resource growth as per annual targets

Donor attraction and retention (25%)

  • Actively seek out strategic alliances with donors, NGOs, UN, governments, Support Offices, bilateral and multilateral agencies for purposes of coordination, marketing and fundraising.
  • Proactively provide donor updates on existing grants and keep the donor relations on course;
  • Ensure good donor and World Vision International Support Office relations by meeting all contractual obligations and achieves high quality planning and implementation levels;
  • Ensure new and existing donor exposure to WVK’s impact within communities including round table meetings with leadership.
  • Coordinate donor engagement meetings and ensure representation of WVK at all high profile meetings.
  • Actively network and initiate strategic meetings between donors representatives and WVK.
  • Coordinate development and review of appropriate sectoral marketing products for key donors
  • Ensure Internal & external engagement business processes & communication protocol with Donors are updated and adhered to. Research new and innovative projects and ideas that will be developed further into concepts and proposals
  • Develop and roll out specific donor acquisition and retention strategies. Guide area programme teams to identify and resolve issues and challenges in monitoring systems, using a coaching approach

Expected end results

  • Number of new and exisiting donors maintaining contact with WVK in a particular year increasing
  • Next phase project awarded by existing donor covering the same area, or expanded areas
  • Positive feedback/reports from donors and support offices

Grants acquisition Monitoring, Reporting, Documentation and Knowledge Management, 15%

  • Coordinate pre-teaming, teaming process and Agreements
  • Update and maintain electronic Grant information on WV Central site/Horizon, M Drive among others.
  • Participate in departmental planning and ensure timely and accurate reporting of all requires report.
  • Maintain and update the Proposal Resource Guide on a regular basis.
  • Analyse and develop presentations to the SMT and technical specialists on trends, focus and developments among assigned donors for policy and strategy review.
  • Maintain an up to date record of all proposals, concepts, expression of interests, teaming agreements and other relevant documentation for ease of access.
  • Conduct routine field support visits and regular review meetings for the purposes of assessing if and ensuring that programs are managed in accordance with donor requirements and establish promising practice and adopt for future proposal/concept development.
  • Ensure timely submission of quality program and financial reports to Support Offices and donors.

Expected end results

  • A well up to date Grants Opportunity tracker
  • Update M-drive will all submitted Proposal Documents (Concept Notes/ Proposal, budget and Agreement)

Capacity Building for staff on Grants Acquisition and Management, 10%

  • Coordinate identification of WVK staff capacity gaps at all levels (NO, Regional & County) in regard to grants acquisition and donor requirements.
  • Coordinate the development & implementation of NO GAM capacity- building plans.
  • Facilitate capacity building on proposal development, donor engagement, WVK Branding and monitoring & reporting based on donor requirements.
  • Roll out of GAM initiatives.
  • Research, develop & implement new initiatives that make GAM function more efficient and effective

Expected end results

  • Technical teams (In Nairobi and field) have increased capacity to support fund raising efforts

Knowledge, Skills and Abilities

  • Minimum of Bachelor’s degree in social sciences or relevant field from a recognized University. Post graduate degree will be an added advantage.
  • Minimum 6 years relevant experience, 3 of which must be in grant acquisition and donor engagement.
  • Significant experience in project management and grant compliance procedures.
  • Demonstrated strong grant writing; ability to develop quality concept notes, proposals, logical frameworks and reports under tight deadlines
  • Ability to motivate multi-stakeholder teams and inspire teamwork and to manage donor expectations;
  • Experience in engaging with bilateral, multi-lateral donors and private donors;
  • Demonstrated experience in community development work, leadership, strategic management, results based management, staff capacity building, monitoring and evaluation.
