Position Summary
Reporting to the National Director, the Human Resources, Learning and Organization Development (LOD) manager will lead the HR function in HFH Kenya, work closely with the National Director in ensuring efficient and effective HR policies and procedures that fits and is aligned with the organization´s principles, strategy, and goals.
Duties and Responsibilities
Recruitment and Selection.
- Coordinate and provide advice and active support to hiring managers throughout the recruitment process, such as: identify resourcing options and strategies, adherence to policy, develop assessment materials, coordinate interviews etc.
- Coordinate and organize HR systems to ensure smooth due processes in the selection and on boarding phase; background checks, offer & contracts, system set-up, induction, orientations etc.
- Develop recruitment matrices and strategies to ensure timely and optimum staffing in HFHK.
Employee Relations
- Develop & review policies for HFHK office which included staff handbook, HR related procedure manuals, to ensure that the documents & practices meet the requirements of Local labor Laws and other statutory requirements.
- Generate HR reports, matrices, data, and analyses on a regular basis, e.g., staff turnover, engagement, retention and together with AO HRLOD team suggest improvements to ND.
- Collaborate with the AOHRLOD team to identify and implement employee engagement activities that will enhance ministry alignment and enhance employee morale across Africa Office operations.
- Support the ND with the resolution of employee relation issues and disciplinary procedures
Learning and Organizational Development
- Manage or coordinate different training initiatives (internal and external), deriving from the annual staff training requirements.
- Coordinate the succession planning process and ensure adequate availability of skill sets and competencies.
- Coordinate effective training/ integration of the Area Office performance management system (part of ERP) once deployed across the countries and ensure everyone understands the system, its benefits and importance.
- Work with the ND and Senior specialist -Regional Change Management to ensure alignment of HFH Kenya change initiatives and strategies.
Performance management
- Coordinate the HFHK performance management system consistently and effectively to foster a performance-based culture in the organization.
- Support employees and Line Managers on all performance management issues, setting goals/objectives, monitoring performance, and giving and receiving timely and effective feedback, managing poor performance etc.
- Support in developing and reviewing performance improvement plans reports with the Line Managers and employees.
- Enable a process of tracking progress from goal setting, monthly 1;1s, quartely reviews, mid-year, and annual performance reviews, ensure timely feedback is given and areas of concerns are addressed promptly.
- In liaison with the line managers address skill gaps that affect the performance of employees in HFHK.
- Ensure performance management system supports business goals and is aligned to the relevant strategies and initiatives in HFHK.
HR Audits
- Lead internal HR Audits ensuring that HFHK is aligned to HFHI HR policies, systems, standards, and tools are aligned to local labor law and other HFHI standards.
- Coordinate the implementation of HR Audit recommendations and ensure proper implementation of internal control in HFH Kenya.
Compensation and Benefits
- In coordination with the AFR Area office support in developing an overall compensation philosophy (salary and benefits structure, etc.) including participating in salary and labor market surveys and data analysis. Ensure fair pay among different groups of employees
- Analyse different components of the remuneration package internally, Compensation and Benefits surveys and prepare reports about the internal equity and external competitiveness.
Safeguarding and DEI (Diversity, Equity, and Inclusion)
- Help maintain a healthy and empowering office environment that encourages open, honest, and productive communication.
- Conduct periodic office climate assessments and advise management as appropriate on suitable solutions and achievement of high levels of employee morale, commitment, and performance.
- Ensures that any inappropriate behavior that could potentially harm employees and affect HFH Kenya reputation is reported, investigated and relevant measures taken. And archive all documentation and closed cases.
- Coordinate safeguarding mainstreaming in all HFH Kenya departments in the annual working plan and periodic performance report.
Staff Welfare
- Develop supportive plans of action for staff care, ensuring a comprehensive approach to support the well-being of staff and foster a positive working environment. Recommendations in this plan should address actionable activities and advice to support the morale and the social, physical, and psychological well-being of all HFHK staff.
- Work to actively engage in building trust with staff at all levels and in all roles.
- Develop, gather and distribute personal well-being educational reading and materials to all staff on a regular basis.
Minimum qualification and experience
- A university degree in Human Resources Management or Organisational Psychology, Economics, Administration, Sociology, Public Policy/Administration, or other similar discipline.
- A Higher National Diploma (HND) in HRM and practicing member of IHRM and or any other HR certification preferred.
- Experience in compensation and benefit management, experience working with country teams across Africa.
- Hands on experience in HR Audit, Risk, compliance, Workforce Planning
- Experience in deployment and management of HR Information Management Systems, HR metrics and reporting.
- A people orientated and results driven attitude.
- Excellent communication skills, including active listening, negotiation and training and presentation skills.
- Ability to build and effectively manage interpersonal relationships at all levels in the organization.
- Good knowledge of Employment/Local Labor laws and HR best practices in Kenya
- Functional independence with the initiative to manage high-volume workflow, with diplomacy and tact and follow up on requests in time and efficient manner.
- Good knowledge of Microsoft Suite – Excel, Access, PowerPoint, and Word.
