Under the supervision of the Logistics Specialist, the Logistics Officer is responsible to plan, manage and monitor all aspects of warehouse and transport operations and inventory management of programme supplies at it Juba warehouse. The incumbent will have supervisory responsibility for all staff located at the warehouse to support the logistics operations, while ensuring adequate oversight for and control of all warehouse-related activities to strengthen accountability and warehousing and inventory control system for supplies procured by UNICEF.

How can you make a difference?

  • Lead all Juba warehouse activities required to effectively contribute to the South Sudan country office.
  • Review the warehouse inventory control systems for receipts, storage, and release of supplies from Juba to Field office warehouses and partners/project sites and advice on areas of improvement and supervises the preparation of appropriate documentation such as good receipts, stock cards, picking orders, shipping waybills, etc.
  • Ensure best practice is implemented for all aspects of warehouse operations.
  • Manage the picking and shipping/dispatch of all supplies requested for release and ensures adequate transport planning and arrangements are put in place to implement the dispatches, including but limited to Releases for Regular Programs and Emergency responses, Convoy movements, Rapid Response Mechanisms (RRM), Air and Barge movements and special projects using either the UNICEF contracted operators and/or Logistics Cluster.
  • Regular review and monitoring of risks related to warehouse and transport operations and implementation of mitigation measures as required.
  • Prepare and disseminate weekly for all warehouses country wide in-stock, stock aging, stock expiry and dispatch reports to South Sudan Country Office (SSCO) ALL staff as part of the overall office performance indicators.
  • Manage the warehouse and inventory management activities including but not limited to physical counts, stock transfers, inventory impairment, local kitting and repacking etc.
  • Ongoing assessment of warehousing capacity requirements, to ensure sufficient space, laborer’s, equipment and trucks are available to support warehouse operations in the most cost-effective manner.
  • Ensure effective communication is established with all stakeholders.
  • Manage the UNICEF VISION warehouse system and ensure all transactions related are correctly and accurately recorded in the VISION system in a timely manner and that all documentations related are properly filed and readily available for reporting and audit purposes.
  • Supervise the UNICEF warehouse staff, in preparation and for implementation of the units work plan and review distribution of tasks for maximum effectiveness.
  • Undertake capacity building for UNICEF staff on Warehouse and Inventory Management (WIM) best practice.
  • Provide capacity building to Implementing Partners logistics staff on good WIM applicable in the field context.
  • Prepare comprehensive reporting on WIM activities related to UNICEF operations.
  • Any other duties assigned by the Supervisor.

To qualify as an advocate for every child you will have…

  • A first university degree in Supply Chain Management or a related field, or equivalent educational qualification in relevant areas (transport or logistics operations/management, supply management, etc.)
  • A minimum of two (2) yearsof relevant professional experience in logistics operations and management.
  • Experience of managing large complex warehouse operations.
  • Experience of working within emergency contexts.
  • Experience of providing comprehensive reporting related to WIM.
  • Experience of capacity building staff and IP’s in area of WIM.
  • Experience of working with UNICEF warehouse systems is a strong asset.
  • Experience of working in South Sudan is a strong asset.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
