Job Title: Office Assistant
Location: Juba, South Sudan
Reporting to: Finance, HR & Logistics Manager, MEAL Manager, Project Manager
Supervising: None
Salary: Range of $1000-$1360 dependent upon experience (monthly gross of tax). 25 days of annual leave plus public and religious holidays
Status: Initially a 12 month contract – 40 hours per week with a probation period of 3 months. This is a professional role that requires flexibility, commitment and willingness and ability to work longer hours when necessary.
Role Duties and Responsibilities:
Human Resources & Administration
• Assist the Finance, HR and Logistics Manager throughout the recruitment process up to full induction of new hires.
• Provide HR and administrative support of all kinds at the base level.
• Support in updating of individual HR personnel records.
• Manage staff leave data base and make follow up on staff who are due for leave.
Finance & Treasury
• Support both physical and electronic archiving of accounting documents.
• Participate in audit preparation activities.
• Support monthly accounting closures, verification, and compilation payment vouchers
• Support in petty cash disbursement, advances ledger, mobile and bank payments where applicable
Logistics and Procurement
• Support Country Finance, HR & Logistics Manager in managing procurement of goods and materials for Concordis operations across South Sudan and Sudan.
• Ensure procurement files are complete and compliant with procedures before submission for validation.
• Update price lists and supplier records.
• Perform any other role as assigned by the Finance, HR and Logistics Manager.
Co-ordination – Build and Maintain Local Relationships in Juba
• Attend events in Juba such as monthly presentations at the donor’s embassy & meetings of the Juba NGO forum.
• Build and maintain relationships with key decision makers
Security Support
• Track the field teams whilst on mission using Garmin support. Full training will be given in this.
Monitoring, Evaluation, and Learning (MEAL) Support
• Collect, verify, and analyse quantitative and qualitative data related to programme activities, including transhumance flows, conflict dynamics, and peacebuilding outcomes.
• Capture lessons learned, best practices, and emerging trends to inform adaptive programming.
• Support field data collection exercises, including surveys, focus group discussions, and key informant interviews.
Person Specification:
Essential:
• At least 5 years working in an office environment
• Excellent IT skills
• Resourceful, proactive, flexible and kind, able to manage and prioritise competing tasks
• Excellent inter-personal skills, able to engage kindly, tactfully and sensitively with a diverse staff team
• Attention to detail
• Excellent written English and presentational style
• Discrete and calm
• Personal efficiency, resourcefulness and organisational ability, and the ability to be take initiative, remain flexible and maintain good humour in challenging circumstances
• An interest in peacebuilding and conflict resolution

Desirable:
• Previous experience supporting a Finance, HR & Logistics Manager
• Practical experience and/or training in NGO Security Management.
• Degree in business management, international relations, development studies, conflict resolution or a related discipline.
