Job Summary

The post holder will be supporting implementation process of Third Party Financial Support to different partners, Community Based Organizations, Civil Society Organization: (S)he will be responsible for the correct and successful implementation of the related activities (WeWorld and partners’ activities), monitoring the indicators as per different project proposals, in close collaboration with the Project Coordinators and ultimately the Program Manager.

S(he) is expected to maintain a good working relationship with the programme team, Finance and Admin department, advocacy, and communication department, CSOs partners, project stakeholders, and line ministries at National and County level.

Job Duties and Responsibilities

The Sub-granting officer will:

  • Oversee and manage the distribution of subgrants, ensuring compliance regulations and internal and donor policies.
  • Prepare narrative and admin/finance monthly, quarterly, and annual activity plans, action plans for monitoring of the subgrantees
  • Checking that grants applications meet funding criteria
  • Manage the grant application process from start to finish, including timelines, progress reports, and final submissions
  • Oversee the process of launching Call for Proposals Cfp targeting youth-led organizations (YLOs), women-led organizations, civil society organizations (CSOs) and community-based organizations (CBOs).
  • Overseeing financial disbursement, budget tracking, and expenditure monitoring.
  • Conducting regular site visits to subgrantees to assess progress and provide targeted support.
  • Assisting in the preparation of reports for internal and external stakeholders.
  • Providing capacity-building support to subgrantees on financial management, compliance and reporting.
  • Managing the subgrant closing process ensuring the submission of the final report and financial statements.
  • Coordinating with Project coordinator to align subgrants with the projects’ broader objectives in youth empowerment, climate action, green and digital transition in Kenya.
  • Maintaining detailed documentation and compliance records and monitor the progress for all the subgrantees.
  • Performing other duties as assigned by the supervisor.

Minimum Qualifications and Experience

  • Bachelor’s degree in finance, Business Administration or a related field;
  • At least 5 years of experience in grant managementsub-granting, or donor-funded project administration.
  • Strong knowledge of EU regulations, financial compliance, and sub-granting mechanisms.
  • Experience working with youth-led organizations (YLOs), civil society organizations (CSOs), and Women led community-based organizations (CBOs) is an asset.
  • Proven expertise in budgeting, financial reporting, and compliance monitoring.
  • Proficiency in grants management software, and financial tracking tools.
  • Experience in capacity building and technical assistance for subgrantees on financial and programmatic compliance.

Competences

  • Ability to coordinate multi-stakeholder partnerships, including CSOs, donors, and government entities.
  • Computer literacy: advanced Excel, Word and Outlook knowledge.
  • Ability to work in a team while maintaining their capacity for initiative.
  • Excellent spoken and written English and Swahili.
  • Good work ethics.
  • Problem-solving, decision-making ability and leadership.
  • Flexible and adaptable.
  • Interpersonal skills, good judgment, and maturity.
  • Ability to identify and handle sensitive and confidential information with discretion.

Desirable:

Knowledge and experience in climate change and resilience projects, green and digital transition**.**

Experience in working for humanitarian aid organisation (NGOs).
