World Vision Uganda is a Christian relief, development and advocacy non-government organization dedicated to working with children, families and communities to overcome poverty and injustice. Position: Temporary People and Culture Assistant

Report to: People and Culture Director

Location: Kampala – National Office

Purpose of the position:

The people and culture assistant is primarily responsible for providing operational and logistical support to the people and culture divisional office.

Key Outputs/Responsibilities.

To provide efficient and effective secretarial, administrative and coordination support to the division by developing and maintaining office systems and procedures, in line with the division strategy

Employee Information

  • Maintain proper custody of the P&C division filing system including archived and closed files
  • Regularly update and ensure that personal employee files are kept up to date with all relevant documentation
  • Develop and maintain effective liaison with National Office HRIS super user to ensure all staff changes are timely updated in Our people HRIS and benefits office is updated.

P&C Front office and document management

  • Receive all visitors/clients coming/calling in the Division and attends to them or directs them to appropriate staff
  • Respond to routine queries and requests from line managers/employees on general P&C processes
  • Ensure good flow and appropriate action on correspondence and documents to and from P&C to other departments and offices
  • Process all staff letters and ensure timely dispatch to relevant parties
  • Oversee processing and issuance of staff identity cards, medical cards and any other staff documentation that may be assigned from time to time.

P&C Administration

  • Manage procurement of general services and goods for the P&C division. This includes raising requisitions, processing payments, processing invoices etc.
  • Ensure proper custody of all P&C Division assets and regularly update the P&C asset register
  • Organize and coordinate P&C events and meetings including interview panels, disciplinary and grievance hearings
  • Develop and update P&C events/activities calendar and ensure timely communication to the team on upcoming/planned events
  • Take minutes at P&C meetings and support Division director in regular follow up of actions
  • Periodically compile HR status reports to guide decision making and action.
  • Assist with the day-to-day efficient operation of the P&C office

Qualifications: Education/Knowledge/Technical Skills and Experience

  • Education: Human Resource Management, Social sciences, Secretarial studies, Office Management, or Public Administration and Management
  • Technical Training qualifications required: Customer Care skills, Planning and organizational skills, Good Interpersonal skills
  • Experience: Preferably 2 years’ experience in a similar role
  • Must have knowledge in computer applications like MS Office and data base management
  • Knowledge in logistical operations
  • Effective communication skills.
  • Excellent customer care and public relations.
  • Abilities in office administration and organization.
  • Strong interpersonal skills.
  • Very strong relational and communication skills.
  • Must be a committed Christian, able to stand above denominational diversities.
  • Commitment to World Vision mission and partnership values and sensitivity to its various expressions across cultures and denominations.
