Project Background

Girl Effect Kenya is expanding its reach through Wazzii, our flagship brand—a chatbot that provides a safe space for young people to access Adolescent Sexual and Reproductive Health and Rights (ASRHR) information and referrals to essential services. As part of our ongoing efforts, Girl Effect Kenya is preparing to launch a new brand focused on delivering Sexual and Reproductive Health (SRH) information to communities, with a particular emphasis on supporting and empowering girls.

As we continue to grow and participate in significant events, it is crucial to elevate the visibility of our brands, both locally and internationally. We aim to showcase our commitment to promoting health, safety, and empowerment for young people, particularly girls, in Kenya. To achieve this, we require a strategic approach to communications that effectively highlights our participation, achievements, and the unique value we bring to the communities we serve. Therefore, we are seeking a Communications Consultant to collaborate closely with our team to enhance our brand’s presence across various platforms and media channels.

Objective

The primary objective of this consultancy is to increase the visibility of Girl Effect Kenya’s current Wazzii brand, as well as the upcoming SRH-focused brand, by showcasing our involvement in important events and initiatives. The consultant will be tasked with developing and executing our communications strategy that positions our brands as leaders in providing critical SRH information and services to young people and communities across Kenya.

What You’ll Do

The selected consultant will be responsible for the following tasks:

Scope of Work:

  • Content Creation and Management:
    • Develop compelling content that highlights Wazzii’s and the new brand’s involvement in key events, partnerships, and initiatives.
    • Manage the content calendar and ensure timely dissemination of content across relevant channels.
    • Handle photography and videography tasks for Kenya programs and, upon request, for global marketing communications (Marcomms).
  • Media Relations and Outreach:
    • Build and maintain relationships with local and international media outlets.
    • Secure media coverage for our events, achievements, and milestones.
    • Coordinate press briefings, interviews, and media appearances for key personnel.
    • Work with the global Marketing Communications (Marcomms) team to ensure proper usage of GE’s logos and brand lines at events and by partners.
  • Event Promotion and Coverage:
    • Develop communication plans for specific events in which Girl Effect Kenya is participating.
    • Ensure comprehensive coverage of these events, including live updates, post-event reports, and visual documentation.
    • Collaborate with event organizers and partners to maximize visibility and co-branding opportunities.
    • Work with global Marcomms in gathering content from global events on a case by case basis.
  • Monitoring and Reporting:
    • Provide regular reports on the progress of the communications strategy and its impact on brand visibility.
    • Make recommendations for adjustments based on performance data.
  • Training and Capacity Building:
    • Train key team members on effective communication strategies and media engagement.
    • Provide guidance on best practices for content creation, social media management, and media relations.

Deliverables

  • A comprehensive approach to executing our communications strategy.
  • Regular content for human interest stories, articles, blog posts, and other communication materials.
  • A Communications Strategy for Kenya.

Expected Commitment

  • The consultancy is expected to start in October 2024 and end in May 2025.
  • The consultancy need will be on ad hoc basis depending on programmatic needs.

Location

The consultant will be based in Kenya.

Management

The consultant will have a primary point of contact with the Programme Lead and with the Country Director. The language of the materials and reports shall be English. The contract supervisor shall approve all deliverables submitted by the agency before any payment is made.

Who You Are

  • Proven experience in communications, public relations, or a related field.
  • Strong writing, editing, and content creation skills.
  • Experience in managing media relations and social media platforms.
  • Knowledge of the Kenyan market and media landscape is an advantage.
  • Excellent communication and report-writing skills.
  • Great interpersonal communication skills
  • Strong cultural awareness and sensitivity about the cultures within which Girl Effect operates.
  • Excellent written and spoken English and Swahili, with an ability to cut through complexity and communicate effectively to multi-disciplinary audiences.
  • Creative and inquisitive mindset with strong communication and organizational skills.
  • Commitment to realizing girls’ potential and to the Girl Effect’s vision and values.
  • Bachelor’s degree in Communications studies and related fields.
  • 6+ years of experience.

Proposal Submission

Your proposal should be 7 pages max and cover the following:

  • Your understanding of the brief and why you feel you are well-placed to advise us on this
  • Credentials/Profile/CV – Please showcase any previous work that you consider relevant to what we are trying to achieve, how we approach our work, and the audience we cater to. Describe the qualifications, experience, and capabilities of the firm or consultant in providing the requested services.
  • Reference– Provide at least three references for similar contracts with a description of the service provided, the value of the contract, and the contract periods of performance.
  • Breakdown of Costs with applicable taxes and other charges clearly identified in KES. Consultants should provide their daily or hourly billing rate or their proposed fixed fee for the requested deliverables.
    • All applicable taxes should be quoted separately;

In their proposal, the bidder must demonstrate an understanding of the requirements described in the TOR and demonstrate how the bidder will meet the requirements of the evaluation criteria.

GE is not liable for any cost incurred during the award/contract preparation, submission, or negotiation of the award/contract. All submitted documentation and/or materials shall become and remain the property of GE.

VALIDITY of the proposal shall be for 90 days from the date of bid closure.

Evaluation Criteria

The criteria against which proposals will be evaluated are listed below.

Technical Evaluation

  • Experience and qualification as outlined in your CV/Credentials/Profile – 20%
  • Showcases relevant experience in having done previous similar work with relevant agencies or organizations – 20 %
  • Geographical Experience in Kenya- 10%
  • Interpretation and understanding of this TOR – 10%
  • Evidence of a minimum of three contactable references – 10%

Financial Evaluation

  • Value for money/proposed budget breakdown – 30%

Tax

Girl Effect is obliged by the Kenyan tax authorities to withhold taxes on service contract fees as well as ensure that 16% VAT, is charged where applicable. Applicants are advised to ensure that they have a clear understanding of their tax position regarding provisions of Kenya tax legislation when developing their proposals.
