Reports to (position):Administrative Coordinator
Purpose:  How does this post support Plan’s strategy and mission?Responsible of a full range of custodial duties related to the cleaning of assigned buildings, facilities and messenger

 

Dimensions of Role:

Financial measures or statistics relevant to post such as budget; list of direct and indirect reports

  • Area of Responsibility – Country Office or Program Unit depending of janitor allocation

Typical Responsibilities – Key End Results of Position:

“What” is done and “why”, but not “how”; include indicators for success

  • Submit a monthly office cleaning schedule for office yard cleanliness;
  • Daily cleaning of office premises, toilette and kitchen to ensure staff welfare in a pleasant environment;
  • Messenger services to help transport items and /or supplies between departments;
  • Support Administrative Assistant in the management of store and in different inventories (phase in and phase out of item from the store) for the asset follow up;
  • Pay utilities bills (SNEC, Telephone, SONEL, other);
  • Comply with Plan’s Child Protection Policy at all times to safeguard and protect the child at all times without any reports or incidents of child abuse,
  • Comply with Plan’s Fraud Policy at all times to safeguard and protect Plan’s assets and reputation of honesty,
  • Perform any other duties to be assigned to support the attainment of organizational goals.

Dealing with Problems:

Complexity of problems handled & the degree of investigation, analysis, & creative thinking required to solve them

This includes how much freedom the position has to make decisions; for example, “may approve invoices up to $1,000.”

  • Be able to maintain yard, office, kitchen and toilet daily clean,
  • Be while moving from one office to another,
  • Exhibit a good sense of judgment and responsibility on the day to day duty,
  • Works with minimum supervision.

Communications and Working Relationships:

Working contacts inside and outside the organization; include the purpose and level (high, medium, low) of the contact

  • Low contact with service providers and suppliers, dispatch of goods, material, equipments, mails, etc.
  • Maintains a high contact with all country office and program unit staff to facilitate prompt movement of items and the wellbeing of staff at the office.

Knowledge, Skills, Behaviors, and Experience Required to Achieve Role’s Objectives:

Gained through education, training, & experience

Qualification and Experience

  • GCE “O” level or BEPC,
  • Be able to read and write English or French,
  • Experience in the NGO sector preferably with child-related development issues, would be an advantage,
