DEPENDING ON AVAILABILITY OF FUNDING
JOB SUMMARY
The Fleet and Logistics Officer ensures the effective management, safety, and readiness of SP‑owned and rental vehicles while coordinating transportation support for country office and field operations. The role oversees vehicle maintenance, inspections, fuel and movement tracking, and compliance with fleet management systems across all bases. It provides driver onboarding and safety training, monitors driving standards, and ensures accurate documentation for vehicle usage and rental payments. The officer maintains asset records, supports logistics reporting, and ensures all fleet and transport activities meet SP operational, safety, and accountability standards.
KEY RESPONSIBILITIES
- Provide technical and driving support for country office and field projects, ensuring fleet safety and readiness at all times.
- Oversee regular maintenance, servicing, government inspections, and insurance compliance for SP‑owned and rental vehicles.
- Maintain accurate daily fleet tracking, including log sheets, fuel usage, mileage records, and monthly consumption reports.
- Ensure rental vehicle documentation—start/end dates, kilometer readings, and usage logs—is complete and accurate for payment processing.
- Verify and process vehicle‑related payments based on approved log sheets and contractual terms.
- Plan and coordinate transportation needs for staff, materials, and inter‑office movements between country office and field locations.
- Implement and monitor SP fleet management systems across all bases, ensuring consistent standards and proper vehicle utilization.
- Provide safety orientation, fleet guidance, onboarding, and SOP training for SP drivers and rental drivers.
- Monitor driver performance, enforce movement and driving security procedures, and identify training needs.
- Ensure all required vehicle documentation and supplies—insurance, logs, directories, maps, first aid kits, and spare parts—are available and up to date.
- Maintain accurate asset records, ensure all resources are registered in the central database, and manage asset transfers and handovers across bases.
- Keep all fleet and logistics trackers updated, including maintenance, fuel, and movement records.
- Support reporting on procurement, asset management, warehousing, fleet, and transport activities according to established schedules.
- Ensure safe loading, unloading, and movement of vehicles and perform all duties in compliance with organizational safety guidelines.
- Carry out additional tasks and responsibilities with a generous and serving spirit for the benefit of Samaritan’s Purse.
EDUCATION / EXPERIENCE NEEDED
- BA degree in Procurement, supply chain management, purchasing management, Business management, Marketing management, or related field.
- 3 – 4 Years’ experience in a similar setup preferably in INGO/NGO.
LANGUAGE
- Proficiency in English and Amharic
- Knowledge of the regional language required
- Knowledge of any other national language is a plus
