ROLE PURPOSE
Plan ensure that all Plan’s financial operations are conducted as per the prescriptions of the Operations Manual(OM) Whenever there is an exception adequate explanation should be provided and approved by appropriate management level. And ensure that all payments are accurate and processed on a timely manner.

Accountabilities
- Processing of payment
- Ensuring that payment requests are reviewed and approved before entry is made into SAP.
- Ensure that all completed payment requests are processed in a timely manner.
- Cancel (stamped PAID) all PV and their supporting documents.
- Ensure that cheques are accurate and match with the supporting documents and will be signed by authorize signatories.
- Ensure that all the cheques issued or cancelled and all the vouchers raised or cancelled follow the requirement in OM.
- Ensure that the description of transactions in SAP are complete and accurate with self-explanatory and understandable to whoever reads them.
- Ensure that evidence of payment made should be collected or made available upon release of cheque- receipts from Suppliers/Staff sign out.
- Ensure that the Receipt matches and is attached to the right payment voucher.
- Treasury management
- Monitor SAP cash registers and bank balances to avoid overdrafts
- Ensure that the Cheque books are kept in a safe place.
- Safeguard and made sure Petty cash fund is kept safe in the petty cash save.
- Made Petty cash payments based on approved Petty cash vouchers.
- Prepare petty cash control sheet at the end of every Friday of the week and ensure it is signed off by the grant accountant.
- Ensure that the petty cash fund is replenished at least every Month and or at 50% used of funds.
- Process other related Bank transactions as requested. (delegate an intern to do this if possible)
- Ensure all check release and transfer letters are filed chronologically by date and on time.
- Processing of Tax
- Ensure all Salary Income tax and Social Insurance for the month is processed, declared and paid to the tax Authorities on time.
- Ensure all withholding tax on rents and other related charges for the month are processed, declared and paid to the tax Authorities on time.
- Ensure all Tax receipts and related Documents are properly filed.
- Ensure all CHSS tax is paid and declared to the tax authorities on time.
- Filing and control of payment Vouchers
- Ensure that all vouchers are properly attached with genuine, accurate and match each other, with arithmetic calculation and proper approval as per OM before filling.
- Ensure that all vouchers are chronologically filed In Global fund Finance Department following the transaction listing for Global Fund funding.
- Maintain a record of vouchers borrowed by staff and ensure that they are returned and kept in the files.
- Sort out all Vouchers/documents needed for Audit or LFA spot checks and ensure that the vouchers/documents are refiled after the Audit or spot checks.
- Others:
- Keep the Project Finance Manager informed of any initiative or difficulties relating to the job’s responsibilities.
- Any other duties that may be assigned from time to time
- Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

- At least 3 years’ experience in working as an Accountant.
- Good knowledge of local accounting practices, standards, procedures and regulations.

Qualification and Experience
- Minimum 3 years’ relevant experience in a similar position in a comparable organization.
- Good knowledge of Global Fund financial reporting requirements, policies and procedures will an added advantage.
